The Position

The Accounting & Purchasing Associate supports the general accounting functions and purchasing operations. This position performs clerical, accounting, and purchasing-related tasks with a focus on accurate recordkeeping, transaction processing, vendor coordination, and operational support. The Assistant works under the supervision of the Accounting Supervisor and is a key member of the finance team

Responsibilities

  • Process invoices and purchase orders for accuracy and proper coding
  • Maintain and update accounting and purchasing records and databases
  • Assist in the preparation and support of accounts payable and accounts receivable reconciliations
  • Review daily cash reconciliations prepared by operational areas for accuracy and completeness
  • Prepare and perform bank deposits in accordance with company procedures
  • Record cash deposits and related transactions accurately in the accounting system
  • Assist with follow-up on outstanding invoices and vendor account discrepancies
  • Coordinate with vendors to obtain quotes and assist with purchase order processing
  • Track inventory levels and assist in reordering supplies based on established procedures
  • Assist in month-end closing activities by preparing schedules and supporting documentation
  • Maintain proper filing (physical and electronic) of accounting, purchasing, and cash documentation
  • Communicate with suppliers to resolve routine operational issues under supervision
  • Support audit and internal review requests by organizing required documentation
  • Perform other related duties as assigned
  • Report any situation that may affect the fulfillment of their duties


Requirements and Skills

  • Associate degree in Accounting, Finance, Business Administration, or related field.
  • 0–2 years of experience in accounting, purchasing, cash handling, or administrative support roles.
  • Experience with QuickBooks or related accounting software preferred.
  • Familiarity with GAAP a plus.
  • Proficient in Microsoft Excel (intermediate: data entry, formulas, basic reporting)
  • Proficient in Microsoft Word and Outlook.
  • Bilingual (English/Spanish) preferred; strong English proficiency required.
  • Good written and verbal communication skills.
  • Strong attention to detail and accuracy in numerical work
  • Excellent organizational and time management skills
  • Ability to prioritize multiple tasks and meet strict deadlines
  • Ability to work independently and follow established procedures
  • Reliable attendance and professional demeanor
  • Strong ethical standards and commitment to confidentiality
