Viking Fire Protection, a part of API Group, is looking for a Inspection Coordinator who thrives on precision, enjoys connecting with clients, and collaborates seamlessly with colleagues to keep everything running smoothly.
The ideal candidate works well independently while actively collaborating with the team. You communicate clearly with customers and coworkers, maintain a keen attention to detail, and confidently multitask in a fast-paced setting. Proficiency in Microsoft Office and prior experience in a similar role is preferred but not required. Responsibilities:
  • Coordinate daily with office and field teams
  • Answer incoming inspection / service requests via phone and email
  • Coordinate with Project Managers to schedule appointments
  • Upload required reports to city and 3rd party portals
  • Work with Inspectors and Project Managers to ensure jobs are dispatched and time is properly captured
  • Build jobs and send work orders daily to inspectors
  • Communicate the Inspection schedule to field personnel and service teams
  • Process invoices in accordance with standard billing practices set forth by service management team
  • Help with walk in customers and answer incoming calls from customers
  • Perform other duties as assigned and as business needs evolve

Requirements:
  • Prior work as an Office or Administrative Assistant or similar is preferred
  • Experience with project management or billing platforms such as Service Trade, Service channel, etc. preferred
  • Ability to work independently with proficiency in the Microsoft Office suite preferred
  • Strong oral and written communications skills with the ability to professionally communicate with all levels of leadership, customers, and employees.
  • Excellent organizational skills and multi-tasking skills; resourceful and proactive in completing duties
  • Willingness to assist with miscellaneous projects as needed
  • Ability to pass pre-employment drug screen, background check, and MVR
  • Education: High school diploma or equivalent.

Pay Range
  • $20-$32/hr depending on background and experience
