Job description

POSITION TITLE:        Part-Time Building Secretary 10 Month 

DEPARTMENT:            Romulus Middle School

REPORTS TO:              School Principal

WORK SCHEDULE:    10AM 2PM (4 hours per day Monday-Friday)

PAY SCHEDULE:         Salary to commensurate with experience and Bargaining Agreement

EFFECTIVE:                 26-27 School Year

Qualifications:

  • High School diploma or equivalent is required.
  • Must possess strong people and communication skills.
  • Ability to establish rapport with students and parents.
  • Must have ability to get along and work well with others.
  • Must be neat in appearance with a pleasant personality.
  • Excellent with details and skilled in proofreading.
  • Must have computer skills to input and retrieve information.
  • Competency in Excel and Word, preferred.
  • Competency with Google docs, sheets, email and calendar, preferred.
  • Must be able to maintain comprehensive records and files.
  • Must have the ability to work under pressure.
  • Must be able to work with limited supervision.
  • Must be very punctual and be a good time manager.
  • Must have excellent attendance.
  • Must have typing ability at 50 w.p.m. (words per/minute).
  • Must be able to pass other appropriate secretarial tests.
  • Must be capable of operating various types of office equipment and machines.
  • Related experience, in a school office setting, preferred.
  • Knowledge and experience with Pupil Accounting, preferred.
  • Knowledge and experience with MCIR, preferred.
  • Knowledge and experience with automated messaging systems, (i.e., Parent Square Contact System), preferred.

Responsibilities:

  • Works cooperatively with administrators, staff, students and parents.
  • Establishes rapport with students, parents, and school visitors.
  • Responsible for positive telephone communications and directing calls.
  • Sign-In and Sign-Out students.
  • May maintain a daily Sign-In and Sign-Out Log / Report.
  • Responsible for Student Services.
  • Receive copy and maintain Student Emergency Cards.
  • Utilizes Mi-Star student accounting program.
  • Monitor the automated absentee monitoring system for student absences and accurately record entries.
  • Maintains comprehensive student attendance files and records for individual student attendance, including Field Trip and School Business attendance.
  • Supports Building Administration, prepares correspondence and periodic reports.
  • Performs minor first aide procedures and notifies parents of injuries.
  • Assists in the Administration and maintenance of medication and medication reports.
  • Maintains up-to-date immunization records and adheres to MCIR reporting rules and timelines including monitoring of school compliancy percentage.
  • Prepares student attendance reports including: daily, marking period, and annual Attendance Collection Status Reports and Percent Present Attendance Reports.
  • Responsible for student and Class Scheduling, Marking Period Grade Verification Reports, the printing of Progress Reports and Report Cards.
  • Coordinates schoolwork requests for students on a long-term absence from school.
  • Assists with new student enrollment.
  • Operates standard office machines.
  • Assists and/or supports all school events and ceremonies, including but not limited to student/parent orientation, open house, moving-up end of the year programs, honors/awards ceremonies, parent/teacher conferences, picture day(s) and other school community events.
  • Familiarity with Parent Square Contact System to deploy school messages.
  • Comply with District Policies and Procedures (i.e., accident reporting, cash handling, timelines, etc.)
  • Perform other duties as assigned.
