Reports to: Office Manager
JOB SUMMARY
The Part-Time Receptionist serves as the welcoming face and first point of contact for St. Paul the Apostle Catholic Church. The Receptionist supports the daily operations of the parish office by providing exceptional customer service, managing front desk responsibilities, assisting with administrative projects, processing Mass intentions, and helping ensure the office operates efficiently and professionally. Through joyful service and a commitment to the mission of the Church, this position helps create an environment where parishioners and visitors feel welcomed, valued, and encouraged in their relationship with Jesus Christ.
ESSENTIAL RESPONSIBILITIES
Hospitality & Front Desk:
§ Welcome parishioners, visitors, volunteers, clergy, and vendors with warmth, professionalism, and Christian hospitality.
§ Serve as the primary point of contact for the parish office.
§ Assist parishioners and guests by answering questions or connecting them with the appropriate staff member or ministry.
§ Monitor the front entrance and ensure visitors are greeted and assisted promptly.
§ Maintain a welcoming, organized, and professional reception area.
Phone & Communication Management:
§ Answer, screen, and direct incoming phone calls in a courteous and timely manner.
§ Respond to general parish inquiries regarding Mass times, sacraments, ministries, parish events, and parish services.
§ Take accurate messages and ensure timely communication with staff.
§ Assist with voicemail and general front-office communications.
Administrative Support:
§ Process Mass intention requests accurately and maintain associated records.
§ Provide administrative support to parish staff, including filing, copying, data entry, document preparation, mailings, and special projects.
§ Assist with parish communications and seasonal initiatives as assigned.
§ Maintain accurate records and perform other administrative duties as assigned.
Office Operations:
§ Maintain parish bulletin boards and informational displays.
§ Receive and distribute mail, packages, and deliveries.
§ Help maintain an organized, clean, and welcoming parish office.
§ Assist the Office Manager with the daily operations of the parish office.
§ Maintain office supplies and other front office resources as assigned.

§ Represent St. Paul the Apostle Parish with professionalism, kindness, and a spirit of joyful service.
§ Support the mission of the parish by creating a welcoming environment where every person encounters the love of Christ.
§ Demonstrate a high degree of emotional intelligence by responding to parishioners with empathy, patience, discretion, and sound judgment, especially during times of grief, crisis, or other sensitive situations.
§ Handle confidential and sensitive information with the highest level of professionalism and discretion.
§ Contribute to a collaborative, mission-focused staff culture rooted in teamwork, hospitality, and excellence.
§ Demonstrate a commitment to the teachings and mission of the Catholic Church in daily interactions.
QUALIFICATIONS
§ Practicing Catholic in full communion with the Church possessing a solid understanding of
Catholic theology, traditions, values, and practices.
§ Compliance background check, fingerprinting, and Protecting God's Children certification.
§ High school diploma or equivalent required.
§ Previous receptionist, administrative, customer service, or office experience preferred.
§ Proficiency in Microsoft Office (Outlook, Word, Excel, and Teams).
§ Ability to quickly learn and effectively utilize parish software systems and other technology platforms, including ParishStaq and other applications used to support parish operations.
§ Comfortable using office equipment and standard office technology.
