Job description

Job Title: Procurement Specialist

Department: Operations

Reports To: Sr. Manager, Operations

Location: Scottsdale, Arizona

Primary Objectives of Position

This role will be responsible for executing FlexiVan’s procurement strategies aimed at driving cost control, developing key vendor/supplier partnerships, fulfillment of operational needs, and diversifying supplier sourcing to minimize procurement risks.

Provide analytical support for the procurement of services and materials which will include depot services, nationwide parts program, new build chassis projects, reconditioning projects, and drayage procurement. Capture and track capital expenditure related to new equipment acquisition and reconditioning or refurbishment of existing assets. Monitor supplier performance and ensure contractual obligations are met. 

Support both field and HQ operational teams with timely management of capital expenditure plans, vendor contracts, parts procurement and other procurement services to maximize efficiency. Work closely with Legal to ensure contract terms are favorable. Special attention to development and implementation of procurement practices that optimize cost and service. 

Support other functional areas including Fleet Operations, Maintenance & Repair, Business Intelligence, IT, Finance, and Commercial.

Major Duties & Responsibilities 

Procurement of services

a) Participate in supplier evaluation and selection 

b) Work with internal stakeholders to develop and maintain strategic vendor relationships 

c) Contract negotiations, locating and setting up new vendors 

d) Work closely with Legal to ensure supplier contract terms are compliant and support Company interests and strategies. 

Analyze Procurement Efforts 

a) Develop, manage, and monitor all Operations Capital Expenditure projects including equipment new build programs, equipment reconditioning programs, and GPS module acquisitions 

b) Track capital expenditure performance of actual spend to the planned spend and will collaborate and verify with Finance 

c) Develop and maintain KPIs and trend performance data 

Vendor Management 

a) Conduct routine cost-benefit analysis and contribute to continual vendor review and optimization 

b) Assist with managing the Depot Quality Assurance Program 

c) Support operations by monitoring performance of various M&R vendors and part suppliers 

d) Assist with audits of product quality, billing accuracy, and other KPI related items 

e) Keep track of vendor and supplier-related activities in the industry 

GPS Contract Management 

a) Monitor telematics provider contract performance 

b) Ensure contract auto renewal is managed with the best interests of FlexiVan kept in mind 

c) Develop and maintain compliance data and reporting
