The Parts Manager is a critical control point that drives cycle time, technician efficiency, and profitability.
Position Overview
We are seeking a highly organized, detail-driven Parts Manager to lead all aspects of parts procurement, verification, staging, and inventory control.
This role ensures that every job is 100% parts-ready before production begins, eliminating delays and enforcing operational standards that keep the shop running efficiently.
You will work closely with estimators, technicians, and leadership to ensure accuracy, accountability, and uninterrupted workflow.
What You’ll Do
Parts Procurement & Vendor Management
  • Order all parts based on approved estimates and supplements
  • Utilize approved vendors and systems (CCC, CollisionLink, PartsTrader, etc.)
  • Ensure best pricing, availability, and vendor performance
  • Document all orders and communication in CCC
  • Maintain accurate vendor records and notes
Receiving, Inspection & Verification
  • Verify all incoming parts for:
    • Accuracy (correct part)
    • Completeness (nothing missing)
    • Condition (no damage)
  • Inspect critical components before acceptance
  • Coordinate technician review for salvage parts
  • Resolve discrepancies immediately with vendors
Parts Staging & Inventory Control
  • Assign and stage parts by repair order (RO) and technician
  • Ensure each job has a clean, organized, and complete parts bin
  • Mirror-match parts to damaged components before staging
  • Prepare full job packages including parts and printed worksheets
Production Support & Workflow Coordination
  • Distribute parts to technicians at job start
  • Review parts with technicians before work begins
  • Check in multiple times daily to prevent downtime
  • Deliver supplement parts immediately upon arrival
  • Proactively resolve delays before they impact production
  • Communicate all issues to Production Manager and GM
Supplements & Repair Continuity
  • Order supplement parts only after approval
  • Ensure rapid turnaround on supplement parts
  • Maintain close coordination with estimators and technicians
Financial Processing & Documentation
  • Post all parts and sublet invoices into CCC accurately
  • Attach invoices to the correct RO daily
  • Verify vendor pricing and discounts
  • Track discrepancies and resolve billing issues
Returns, Credits & Reconciliation
  • Process returns quickly and accurately
  • Monitor credits due weekly
  • Ensure ≥95% of credits are resolved within 30 days
  • Escalate vendor issues when necessary
Pre-Production Readiness Control
  • Confirm every job is 100% ready before production:
    • All parts received, verified, and staged
    • Worksheets printed and matched
    • No missing components
  • Review upcoming jobs to catch gaps early
Inventory & Shop Organization
  • Maintain a clean, organized parts department
  • Manage shop supplies and inventory levels
  • Review and resolve aged parts (over 4 days)
  • Eliminate unused, excess, or idle inventory
What Success Looks Like
  • ≥95% of jobs have 100% parts before reassembly
  • Parts accuracy ≥97% (first-time correct orders)
  • Technician downtime from parts issues ≤2%
  • Parts-related delays ≤0.5 days per RO
