Job description

The Parts Manager is responsible for overseeing the procurement, inventory control, and distribution of parts for the company's heavy equipment rental fleet. This role ensures that technicians and service teams have the necessary parts and materials to maintain and repair equipment efficiently, minimizing downtime and supporting safe, reliable fleet operations. The Parts Manager maintains strong relationships with suppliers, manages inventory levels, and ensures accurate tracking and reporting of parts usage and costs.

Essential Functions

  • Manage daily operations of the parts department for heavy equipment and rental fleet maintenance.
  • Order, receive, and track parts, supplies, and materials from vendors and manufacturers.
  • Maintain optimal inventory levels to support maintenance and repair needs while controlling costs.
  • Implement and maintain inventory management systems, including tracking, cycle counts, and audits.
  • Coordinate with service technicians and mechanics to identify required parts for repairs and preventative maintenance.
  • Monitor equipment parts usage trends and forecast future inventory needs.
  • Ensure accurate documentation of parts orders, receipts, warranties, and returns.
  • Establish and maintain strong relationships with parts vendors and negotiate pricing when possible.
  • Ensure parts storage areas are organized, clean, and compliant with safety standards.
  • Manage core returns, warranty claims, and defective parts processes.
  • Work with accounting and operations teams to track parts expenses and maintain budget targets.
  • Train and supervise parts department staff when applicable.
