Job Overview

The Parts and Inventory Manager is responsible for overseeing the inventory of parts and supplies for the company’s operations, ensuring accurate record-keeping, timely procurement, and efficient distribution. This role plays a key part in maintaining operational readiness by managing inventory levels, coordinating with suppliers, supervising parts runners, and ensuring the parts room remains clean, organized, and efficient.


Key Responsibilities

  • Manage the daily operations of the parts room and inventory storage areas.
  • Maintain a clean, safe, and organized parts room at all times.
  • Supervise and stay on top of all parts runners to ensure timely deliveries and pickups.
  • Monitor inventory levels and reorder parts and supplies as needed to maintain optimal stock levels.
  • Track and manage all parts purchases, invoices, and receipts.
  • Ensure all purchase receipts are properly documented and submitted to the Accounts Payable (AP) department in a timely manner.
  • Develop and implement inventory control procedures to improve accuracy and efficiency.
  • Coordinate with vendors and suppliers to obtain quotes, place orders, and track deliveries.
  • Maintain accurate inventory records using inventory management software.
  • Conduct regular physical inventory counts and reconcile discrepancies.
  • Ensure parts are properly labeled, organized, and stored to facilitate easy retrieval.
  • Work closely with maintenance and operations teams to anticipate parts needs and support project planning.
  • Oversee the return and warranty process for defective or unused parts.
  • Ensure compliance with company policies and safety regulations in the parts and inventory area.
  • Supervise and train parts clerks, inventory assistants, and parts runners as needed.
  • High school diploma or equivalent
  • 3–5 years of inventory or warehouse management experience, preferably in a fleet, maintenance, or industrial environment.
  • Strong understanding of inventory control practices and supply chain logistics.
  • Experience handling invoices, receipts, and working with AP departments.
  • Proficiency in inventory software systems and Microsoft Office (Excel, Outlook, etc.).
  • Excellent organizational, problem-solving, and time management skills.
  • Strong communication and interpersonal abilities.
  • Ability to lift up to 50 lbs. and perform routine physical inventory tasks.
  • Forklift certification a plus.
