Summary: The Treatment Coordinator is responsible for the ideal New Patient experience, Has the ability to follow the full assessment by the doctor. Spends time with the patients to answer questions related to treatment and fees. Someone who is responsible to ensure that patients leave well informed, with all their questions answered about treatment options and alternative fees introduced.

Responsibilities

Essential Duties and Responsibilities: include the following. Other duties may be assigned.

  • Personal confirmation of all exam, observation, and recall patients
  • Maintains a low percentage of no-shows by confirming patient appointments the two nights before and continually monitoring and moving
  • New Patient appointments to maintain a full productive exam schedule every day
  • At confirmation call, reminding patients to fill out paperwork if they have not already to ensure patient is seen in a timely manner
  • Putting patients and parents at ease with a friendly meet and greet
  • Introducing patients to the office
  • Presenting office tour with patients and parents
  • Support of the office, doctor, and team members
  • Discussion of treatment plan with patients/parents
  • Documentation of diagnostic findings, detailed treatment recommendations and any other pertinent information discussed during the initial consultation by the doctor or treatment coordinator
  • Explanation of office policies and procedures
  • Schedules contract, records and any follow up appointments needed in Practice Management System
  • Maintain and utilize recall system
  • Maintaining start conversion percentage goal of 65% per month
  • Enter/print/mail patient letters to patients and doctors
  • Pre-write/print new patient exam letters to doctors and extraction/prescription letters for doctors to review and sign
  • Follow up on exam patients. Utilize a tracking spreadsheet to track and document at least 3 contacts post-exam with all pending exam patients or more with strong pending patients
  • Reminds Doctors of any needed letters, x-ray readings, emails to referring doctors, etc. that are required to finish the New Patient exam process and enroll the patient into treatment
  • Back up-front desk by being third on phones
  • Prepares contracts - discusses financial arrangements-has responsible party sign
  • Explains risks and limitations and has patient sign
  • Enters treatment plan in chart/computer
  • Maintains cleanliness and neatness of work area
  • Educating and discussing the dentist's treatment plan, after the dentist has diagnosed and reviewed the treatment with a patient
  • Discussing dental benefits when applicable
  • Sending pre-estimates and following up with patients
  • Educating patients about veneers, implants, crowns, bridges, Ortho, Perio and any other treatment that was diagnosed by the dentist.
  • Utilizing technology in the office, e.g. digital photos, intra oral camera photos when educating patients and discussing treatment
  • Dealing with difficult patients and doing public relation calls to patients
  • Monitoring treatment plans and case acceptance
Qualifications

Education and/or Experience

  • High school diploma or equivalent
  • 1+ years of experience with dental or orthodontic treatment planning experience, preferred
  • 6+ months of sales experience, preferred
