Summary of Responsibilities:
The Part-Time Weekend Receptionist supports the sales and leasing team by providing exceptional customer service and administrative support while ensuring the sales office, model residences, and reception areas are welcoming, organized, and professionally maintained. This position serves as the first point of contact for prospective residents, brokers, and visitors, contributing to a positive customer experience and the efficient day-to-day operation of the sales office.
Essential Functions:
  • Open the on-site sales and leasing office each day by preparing the office and model residences, including turning on lights and ensuring all areas are presentation ready.
  • Maintain the cleanliness, organization, and professional appearance of the sales office, model residences, and all common areas.
  • Conduct routine inspections of model residences and building hallways, removing minor litter and submitting maintenance requests or punch list items through BuildingLink as needed.
  • Monitor and replenish office, kitchen, bathroom, and marketing supplies to ensure adequate inventory at all times.
  • Prepare marketing materials and promotional packets in advance of events and property tours.
  • Check office voicemail daily and promptly route inquiries as appropriate.
  • Enter all email and voicemail inquiries into the CRM system and distribute leads to the appropriate sales or leasing agent.
  • Confirm scheduled appointments.
  • Answer incoming telephone calls, direct inquiries appropriately, and provide courteous, provisional assistance to prospective residents, brokers, residents, and vendors.
  • Welcome visitors to the sales office, identify their needs, and provide an informative introduction to the property and available residences.
  • Maintain a working knowledge of leasing applications, lease packages, and related documentation.
  • Prepare and distribute daily sales and leasing reports.
  • Support the planning and execution of open houses, broker events, and other marketing initiatives.
  • Assist with data entry, reporting, client registrations, contact lists, traffic reports, deal tracking, and comparable market research.
  • Attend company meetings as requested.
  • Perform other duties and administrative projects as assigned.
