The essential functions include but are not limited to the following duties and responsibilities, which are listed in no particular order of importance:

  • Independently manage and resolve daily administrative needs.  Handle differing situations, problems, and deviations in the work of the office according to the Office Leadโ€™s general instructions, priorities, duties, and goals;
  • Provide administrative support to management and staff ensuring efficient day-to-day operations of the office;
  • Prepare polished, accurate and complete reports, proposals, memos, minutes, and other documents as needed;
  • Prepare outgoing mail and courier parcels;
  • Sort incoming mail and courier deliveries for distribution;
  • Make meeting and other arrangements for staff, as needed
  • Purchase, receive, and store the office supplies and snacks
  • Code and file material according to the established procedures;
  • Work with Corporate Manager to ensure efficiency of administrative processes and procedures
  • Perform Data entry and administrative tasks with a high level of accuracy and attention to detail, validating information prior to submitting;
  • Provide front desk support.
  • Greet and assist visitors to the office
  • Maintain cleanliness and organization of the office
  • Assist with Coordination of internal training sessions

  • High School Diploma or equivalent
  • 10+ years prior administrative experience
  • Proficient in the use of Microsoft Office, Outlook, PowerPoint, and Internet
  • Ability to operate copy machine, scanner, and fax machine
  • Ability to read and interpret documents
  • Possesses excellent oral and written communication skills, and basic math functions
  • Strong time management skills with the ability to multitask
  • Ability to work independently
