Job Summary:

The HR Coordinator provides skilled administrative and coordination support to the Human Resources team across the employee lifecycle. This position supports onboarding, personnel file maintenance, employee record updates, benefits and employment verification processes, interview scheduling, ADP learning assignments, and timely employee communications. The role helps ensure HR processes are organized, accurate, confidential, and responsive so employees and managers receive high-quality support aligned with Chief Seattle Club’s mission, values, and compliance responsibilities.

Knowledge, Skills and Abilities Required: 

Education: High school diploma or equivalent required. Associate degree or bachelor’s degree in business administration, human resources, or a related field preferred.

Experience: Typically, 1–3 years of administrative, human resources, office coordination, or related experience required. Experience supporting onboarding, document management, employee records, or recruitment coordination is preferred.

Licenses/Certifications: Human resources certification preferred, or ability to obtain an HR-related certification within one year of hire.

Technical Skills & Competencies: Proficiency with Microsoft 365, Outlook, Teams, Word, Excel, printers, badge ID systems, and standard office equipment; experience with ADP or another HRIS strongly preferred; ability to learn new systems; ability to maintain accurate employee records and confidential documentation; working knowledge or ability to learn HR processes, benefits administration steps, employment eligibility documentation, E-Verify, onboarding workflows, and applicable employment and workplace safety requirements.

Soft Skills: Strong written and verbal communication skills; excellent organization, attention to detail, follow-through, and time management; ability to manage competing priorities and high-volume onboarding or filing needs; discretion and sound judgment when handling sensitive employee information; professional collaboration with employees, candidates, vendors, and HR team members; patience, adaptability, and a service-oriented approach.

Preferred Qualifications: 

Experience working in a mission-driven nonprofit, Native organization, social services environment, or organization serving vulnerable communities is preferred. Prior experience with ADP, onboarding coordination, personnel file management, employee communications, recruitment support, benefits enrollment support, or training tracking is highly valued.

Physical Requirements: 

While performing the duties of this job, the employee is regularly required to sit at a desk and work on a computer for extended periods; use hands and fingers for typing, filing, and handling documents; communicate frequently in person, by phone, video, and email; see and read documents and digital records; move throughout office and program spaces; and maintain accurate files and records. The employee may occasionally lift or move materials weighing up to 25–40 pounds, such as onboarding supplies, file boxes, office materials, or event items.

Work is primarily performed in an office environment in downtown Seattle’s Pioneer Square neighborhood. Noise is generally minimal, though interruptions and competing priorities are common. The position requires daily interaction with HR team members, employees, candidates, and managers and requires professionalism, confidentiality, and timely follow-through when responding to employee questions or coordinating HR processes.
