General Description
The purpose of this position is to provide administrative support to the Director and staff of TRIO-Student Support Services. This is a grant-funded position working 28 hours per week.
Essential Job Duties
  1. Serve as a receptionist; receive telephone calls and visitors; route calls and/or provide information; make calls as necessary; confirm appointments for directors and staff; maintain appointments for directors and staff and students on the master calendar at the front desk and record appointments on electronic calendar available to each staff on personal computers.
  2. Recruit, hire, supervise, assign, and schedule student workers.
  3. Maintain all budget expenditures for TRIO- Student Support Services; type and process purchase requisitions; maintain appropriate inventory of office supplies; serve as liaison to the Accounting Office regarding issues related to purchasing, staff travel/reimbursements, and yearly audits.
  4. Establish and maintain departmental and individual student files by creating a database and printed copies; enter student information into the student database; prepare and assemble participant information into individual student folders.
  5. Maintain records, leave, and time sheets for students and staff; process paperwork for employment of new personnel.
  6. Make travel arrangements for directors and staff; establish and confirm reservations; prepare travel and vehicle request forms; complete travel expense/reimbursement forms.
  7. Prepare and compose correspondence and letters for directors and staff needed.
  8. Assist in preparing and typing monthly semester, and yearly performance reports; provide feedback and input regarding sections of grant proposals; type various reports for staff as needed.
  9. Assist with priority registration of students.
  10. Participate in departmental staff meetings and keep a record of meeting minutes.
  11. Maintain and schedule repair of office equipment.
  12. Perform other duties as outlined by the director.
  13. Receive and distribute incoming mail; handle electronic correspondence.
