THE ROLE

We are looking for an Accounting Specialist who is highly detail-oriented, organized, dependable under pressure, and genuinely motivated to improve processes through technology and automation.

This role supports core accounting operations with a strong emphasis on payroll coordination, deadline management, reconciliations, and high-volume administrative accounting work. Success in this role requires someone who can manage recurring responsibilities accurately while staying calm and flexible when last-minute changes happen.

This is not a passive maintenance role. We are looking for someone who takes ownership, keeps things organized, communicates clearly, and actively looks for ways to make systems and workflows better over time.

This is a part-time, in-person office role based in Des Peres, Missouri.

KEY RESPONSIBILITIES


Payroll & Deadline Coordination
- Support bi-weekly payroll processing and payroll-related data entry
- Gather and organize payroll information from multiple sources including email, messaging platforms, operational leaders, and internal systems
- Manage payroll deadlines while accurately handling last-minute adjustments and corrections
- Maintain documentation and ensure accuracy across payroll-related reporting


Accounting Operations
- Process accounts payable and vendor invoices
- Review and reconcile employee expense submissions and corporate credit card transactions
- Perform bank, cash, and system reconciliations
- Post journal entries and assist with month-end close activities
- Assist with fixed asset tracking, insurance schedules, and other accounting support tasks


Email & Workflow Management- Maintain organization within accounting department inboxes
- Create filters, rules, labels, and workflows to improve email management and reduce missed items
- Ensure requests, approvals, and follow-ups are tracked appropriately


Reporting & Analysis
- Assist with financial reporting and data analysis
- Investigate discrepancies, recurring errors, and operational inefficiencies
- Support reporting across multiple locations and departments
- Help maintain accurate records related to gift cards, promotions, and other operational liabilities


Process Improvement & Automation
- Identify opportunities to streamline repetitive or manual processes
- Use Excel, AI tools, and automation platforms to improve efficiency and accuracy
- Support operational improvement projects and workflow development
- Learn and adapt to new software and systems as business needs evolve


General Administrative Support
- Open, sort, scan, and organize physical mail and accounting documents
- Assist with various accounting department and operational support tasks as needed
- Collaborate with spa directors and operations leaders to gather information and resolve issues


QUALIFICATIONS

Required
- Bachelor's degree in Accounting, Finance, or related field preferred, or equivalent relevant experience
- 2+ years of accounting, finance, payroll, or administrative support experience
- Strong Excel skills including formulas, lookups, pivot tables, and data organization
- Strong attention to detail and organizational skills
- Professional written communication skills
- Ability to manage deadlines and shifting priorities effectively

Preferred
- Experience supporting payroll processing
- Experience in multi-location or fast-paced operational environments
- Familiarity with accounting systems such as NetSuite or QuickBooks
- Experience using AI tools or automation platforms to improve workflows
- Exposure to process improvement initiatives or operational scaling environments
