Job description

The Louisiana Conference of The United Methodist Church is pleased to announce a search for a Part-time Southwest District Administrative Assistant. This vital role provides direct support to the District Superintendent and helps ensure the smooth and efficient operation of the Southwest District office. The ideal candidate will bring strong organizational, communication, and clerical skills, along with a commitment to supporting pastors, lay leaders, and the broader ministry of the Conference.

Essential Functions:

  • Provide direct administrative support to the Southwest District Superintendent.
  • Perform general clerical duties including phone, managing correspondence, filing, and maintaining digital records.
  • Serve as primary point of contact for pastors, lay leaders, vendors, and the public via phone, email, and written communication.
  • Maintain and update clergy, church, and laity records, including contact, appointment, and compensation.
  • Process financial transactions in Shelby Next, including invoices, deposits, reconciliations, and reimbursements.
  • Order office supplies and complete banking, postal, and related errands as needed.
  • Prepare and distribute district and Conference communications, forms, and reports.
  • Coordinate District Committee on Ministry (DCOM) processes, including scheduling interviews, preparing materials, arranging hospitality, and maintaining committee records.
  • Manage Annual Conference administrative processes, including delegate communication (lay and at-large), registration and payment tracking, preparation of sign-in materials and name tag information, and processing stipend payments and related documentation.
  • Administer clergy appointment processes, including benefits calculations, compensation forms, data updates in Mission Connect, and reporting to the Conference Office.
  • Prepare and submit district reports and spreadsheets, including appointment lists and updates to the Conference Office.
  • Coordinate Statistical Review sessions, including scheduling church and clergy communication, logistics, form collection, and verifying data in Mission Connect.
  • Track, organize, and securely store district forms and documentation in OneDrive and other approved systems.
  • Attend Annual Conference, Statistical Reviews, and other required meetings.

Qualifications:

  • Associate’s degree in a relevant field is required; Bachelor’s degree preferred.
  • Minimum of 3 years of relevant experience is required; prior experience in a local church preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) with strong ability to apply these tools to daily tasks.
  • Practical experience in organizing, storing, and retrieving documents efficiently.
  • Ability to quickly learn and effectively use the organization’s technology systems.

Work Environment & Requirements

  • In office work required three days per week in Lafayette, Louisiana
  • Minimal travel is required for meetings as needed.
