We are a leading software development firm, currentlyseeking a highly organized, dependable, and proactive Part-Time Administrative Assistant / Office Coordinator to support the day-to-day operations of our Montreal office.

This is an ideal opportunity for someone who enjoys keeping things organized, takes initiative, and is comfortable managing a variety of administrative and office coordination responsibilities. The successful candidate will be a reliable point of contact for staff, management, building management, vendors, and service providers, helping ensure that the office runs smoothly and efficiently.


Key Responsibilities:


Office Administration & Operations

  • Support the day-to-day administrative operations of the Montreal office.
  • Maintain a professional, organized, and welcoming office environment.
  • Coordinate the ordering, delivery, and tracking of office supplies, equipment, and basic IT hardware.
  • Manage mail, deliveries, parking arrangements, office access, and other general office logistics.
  • Serve as a primary point of contact for building management, suppliers, and external service providers.
  • Ensure office services and facilities are maintained efficiently and issues are followed through to resolution.

Finance & Administrative Support

  • Assist with processing invoices, expense tracking, and payment follow-ups.
  • Follow up on invoices, deposits, and outstanding payments.
  • Coordinate with accountants and management on basic financial and administrative matters.
  • Maintain organized records and documentation related to office operations and expenses.

Team & Management Support

  • Provide general administrative support to management and staff as required.
  • Assist with internal communications and coordination.
  • Help plan and coordinate office activities, staff events, meetings, and other internal initiatives.


Qualifications

  • Fluent in both French and English, both written and spoken.

  • Gerer le courrier, les livraisons, les arrangements de stationnement, l'acces au bureau et autres aspects lies a la logistique du bureau.
  • Agir a titre de principal point de contact aupres de la gestion de l'immeuble, des fournisseurs et des prestataires de services externes.
  • Veiller a ce que les services et les installations du bureau soient maintenus efficacement et assurer le suivi des demandes et des problemes jusqu'a leur resolution.

Soutien financier et administratif

  • Participer au traitement des factures, au suivi des depenses et aux suivis de paiements.
  • Effectuer le suivi des factures, des depots et des paiements en suspens.
  • Coordonner avec les comptables et la direction les questions financieres et administratives de base.
  • Tenir a jour des dossiers et documents bien organises lies aux operations et aux depenses du bureau.

Soutien a l'equipe et a la direction

  • Fournir un soutien administratif general a la direction et aux employes, selon les besoins.
  • Participer aux communications internes et a la coordination des activites.
  • Contribuer a la planification et a la coordination des activites du bureau, des evenements pour les employes, des reunions et d'autres initiatives internes.


Qualifications

  • Maitrise du francais et de l'anglais, a l'oral comme a l'ecrit.
  • Experience anterieure en administration, coordination de bureau, gestion de bureau ou dans un role de soutien similaire.
  • Excellentes capacites d'organisation, grand souci du detail et aptitude a gerer plusieurs priorites simultanement.
  • Excellentes competences en communication orale et ecrite.
  • Professionnalisme, approche courtoise et sens du service.
  • Grande discretion et professionnalisme dans la gestion de renseignements confidentiels.
  • Bonne maitrise de Microsoft Office et/ou Google Workspace.
