Job Description: Office Clerical Assistant – Screen Printing Shop 

Position Title: Office Clerical Assistant 
Department: Administration / Customer Service 
Location: FT Worth 76110
Shift: Peak 8am to 5pm (Summer- 7am to 4pm)
Employment Type: Part time progressing to full time.  

Position Summary 

The Office Clerical Assistant supports the daily administrative operations of a busy screen-printing shop. This role is responsible for handling customer communications, processing orders, maintaining records, assisting with scheduling, and providing general office support to ensure efficient workflow between customers, sales staff, and production teams. Must be proficient in Adobe Illustrator.  

Key Responsibilities 

Administrative Support 

  • Answer and direct incoming phone calls, emails, and customer inquiries.  

  • Greet customers and visitors in a professional manner.  

  • Maintain organized filing systems for customer orders, invoices, artwork approvals, and production records.  

  • Perform data entry and maintain accurate customer information in company databases.  

  • Prepare and process paperwork, forms, and reports as needed.  

Order Processing 

  • Enter customer orders into the shop management system.  

  • Verify order details, quantities, artwork specifications, and delivery requirements.  

  • Track order status and communicate updates to customers and production staff.  

  • Assist with generating quotes, invoices, and purchase orders.  

Customer Service 

  • Respond to customer questions regarding orders, pricing, timelines, and products.  

  • Coordinate artwork approvals and proofing processes.  

  • Resolve routine customer concerns and escalate issues when necessary.  

  • Maintain positive customer relationships through professional communication.  

Production Coordination 

  • Assist with scheduling production jobs and monitoring deadlines.  

  • Communicate order changes and special instructions to production personnel.  

  • Help maintain inventory records for office and production supplies.  

  • Support coordination of shipping, receiving, and order fulfillment documentation.  

General Office Duties 

  • Manage incoming and outgoing mail and deliveries.  

  • Order office supplies and maintain inventory levels.  

  • Assist with bookkeeping tasks such as invoice preparation and payment tracking.  

  • Perform other clerical and administrative duties as assigned.  

Qualifications 

Required 

  • High school diploma or equivalent.  

  • Previous clerical, administrative, customer service, or office experience.  

  • Proficiency with Microsoft Office (Word, Excel, Outlook) or similar software.  

  • Strong organizational and multitasking abilities.  

  • Excellent verbal and written communication skills.  

  • Accurate data entry and attention to detail.  

Preferred 

  • Experience in screen printing, apparel decoration, promotional products, or manufacturing environment.  

  • Familiarity with order management, invoicing, or production scheduling software.
