Job description

The Administrative Assistant will provide clerical support for the FCA field office to accomplish the FCA mission and vision and reflect the FCA Core Values in the ongoing work of that office.
MINISTERIAL DUTIES
These responsibilities are critical to the FCA mission and this position plays a vital role in our ministry. FCA expects all functions and responsibilities outlined below to be carried out with a heart surrendered to serving God as a form of worship.
  • Agree with, and abide by, FCA's Christian Community Statement.
  • Follow a spiritual rhythm including daily prayer and Bible study to seek the Lord's will for FCA.
  • Lead, conduct and provide spiritual leadership for staff, volunteers, coaches and athletes through prayer, Bible study, worship and living by example so they are equipped to serve others.
  • Connect to and participate in a local church through worship and weekly involvement.
  • Conduct yourself in a manner that affirms biblical standards of conduct in accordance with FCA's Christian beliefs (see FCA's Christian Community Statement) at all times.

POSITION RESPONSIBILITIES
  • Responsible for appointments/meetings with staff, ministry partners, vendors, etc.
  • Handles travel arrangements for assigned staff.
  • Receives and screens telephone calls and emails for area office.
  • Retrieves, opens, and distributes office mail.
  • Plans, organizes, and completes assigned work in a timely manner.
  • Manages development of resources and meets deadlines of assigned projects.
  • Coordinates donor ministry events, banquets, staff meetings, etc.

Part Time Admin focused on Events
Expected to take point with major Lowcountry FCA events and fundraising drives (not including area-specific events that our staff is putting on, though you may provide assistance with those as able). These efforts include:
• Annual spring fundraising banquet
o Coordinate with Metro Area Director for event goals
o Secure key note speaker, date and location of event, along with catering and negotiating contracts for all event
vendors
o Lead in recruitment of event sponsors and set up payment methods
o Keep track of funds raised
o Execute silent and live auction
o Set up event registration
o Communicate with and instruct table hosts and volunteers, including student speakers
o Design digital and printed media for event
o Plan and purchase decor for the event
o Delegate roles and responsibilities as needed to other staff, board members and volunteers
• Annual fall fundraiser
o Coordinate with leadership board for event date, projected goals, venue, and other key details
o Arrange payment methods for sponsors and guests
o Take point in event registration and vendor payment/honorariums
o Assist in silent auction execution
o Order necessary printed materials and other items as designated by the board
o Provide necessary digital materials
• Summer All Ability camp (Johnathan Game will be Camp Director moving forward, this role can support as
Assistant Director or other key camp position)
o Assist in date and location decisions
o Help with volunteer and camper recruitment
o Help with event registration
o Provide support for seeking sponsorships, in kind donations, and other needs
o Report to Camp Director for needs leading up to camp and day of camp
• Year End Giving Campaign (remote)
o Coordinate with Metro Area Director for fundraising goals and desired approach
o Work with marketing to create a year-end campaign to be sent out immediately after Thanksgiving
o Includes hard copy mailers, emails, texts, social media, etc.
o Coordinate any media needs (ex: videos of student testimony, quotes from athletes and coaches, images, etc.)
o Take lead in ordering, stuffing, and sending mailers to be ready last week of November
o Consider Giving Tuesday approach
• Other fundraising and ministry events as decided on by Metro Area Director and Leadership Board
o We have discussed the idea of a summer "FUNdraiser" involving students and families, such as a kickball
tournament or lift-a-thon
o Provide creative ideas on existing fundraisers and new avenues we can go
Regularly scheduled responsibilities:
• Regular communication with Mackenzie and, when needed, Justin to coordinate on events
• First year Mackenzie would be hands on in training as we approach each event
• 1x/month required staff meeting
• Enter hours monthly via ADP
• Work from home when not at events/staff outings
• Optional chances to travel in the Carolinas for staff training, but most training is online
• May be eligible for computer and other equipment
