Operation Assistant - Job Summary

The Operations Assistant supports the day-to-day administrative and operational functions of the organization. This role assists with intake coordination, onboarding workflows, billing support, credentialing tracking, scheduling updates, and operational systems management to help ensure efficient and organized service delivery across departments.

The Operations Assistant works closely with the Business Operations Manager and operational leadership team to maintain workflow consistency, support staff and families, and assist with operational projects and administrative coordination.

This position is highly collaborative, detail-oriented, and essential to supporting the organization's daily operations and continued growth.

This role reports directly to the Business Operations Manager.

DUTIES & RESPONSIBILITIESIntake and Client Onboarding Support (25%)
  • Send and track intake forms and onboarding documentation
  • Follow up on missing documentation and outstanding onboarding items
  • Maintain potential client tracking systems and CRM updates
  • Support client setup in operational systems, including:
    • Google Drive
    • Slack
    • CentralReach
    • CRM platforms
  • Coordinate onboarding workflows and communication with families and staff
  • Assist with scheduling onboarding-related meetings and appointments
Administrative and Operational Coordination (25%)
  • Manage operational tracking tasks and follow-up items
  • Answer and support ABS office phone operations
  • Coordinate meeting room scheduling and operational logistics
  • Maintain organized Google Drive systems and operational documentation
  • Attend leadership or management meetings and document meeting minutes
  • Assist with operational projects, event planning, and workflow coordination
Billing, Scheduling, and Authorization Support (20%)
  • Assist with claims submission and patient responsibility tracking, including collections
  • Support authorization tracking, renewals, and documentation collection
  • Monitor authorization timelines and expiration dates
  • Support operational schedule updates within CentralReach
  • Assist with operational billing coordination and system accuracy
  • Monitor and update operational reports and projection tracking tools
Credentialing and Compliance Support (15%)
  • Track provider credential renewals and certification timelines
  • Support CAQH, ePREP, and payer enrollment maintenance
  • Conduct OIG and compliance-related checks
  • Maintain CPR and certification tracking systems
  • Assist with compliance documentation and operational audits
HR and Employee Onboarding Support (10%)
  • Send onboarding emails and orientation information to new hires
  • Coordinate onboarding logistics and documentation collection
  • Track onboarding progress and employee requirements
  • Support workforce administrative tasks and employee file organization
Marketing and Organizational Support (5%)
  • Assist with newsletters, social media posts, and organizational communications
