Job description

This is a remote position.

Our client, a specialized team of FileMaker development experts in Vancouver, Canada, is seeking a highly organized Part-Time Project Manager to support an ongoing engagement with a major utility client in Canada.

You will keep timelines, dependencies, and client commitments on track, and coordinate the testing and release cycle across multiple programs and rollouts, working with our Technical Lead and the client's project manager. The work is steady and detail-driven: maintaining plans, running the test cycle against a live scorecard, producing the documentation deliverables, chasing the inputs and sign-offs we need from the client and third-party testers, and flagging slippage before it becomes a problem.

Employment Type: Ongoing part-time contract
Work Schedule: 4-6 hours per week. Mandatory attendance at weekly client status meeting every Wednesday, 11 AM - 12 PM PST
Location: Remote, must work on Pacific Time

What You'll Do:
Testing & Release Coordination
  • Run the test cycle through a structured Trello pipeline and a live status scorecard in Google Sheets, keyed to release dates - tracking each case as passed, failed, in development, or outstanding.
  • Track test cases as checklists with screenshot evidence; log defects and chase them through retest to closure in the card threads.
  • Coordinate testing across the development team, the client, and third-party testers, spanning multiple utility programs and per-utility rollouts.
  • Verify report and deliverable outputs against spec before release - this engagement carries a large catalogue of report deliverables that each need sign-off.
  • Manage go-live scheduling: unit testing, end-to-end testing, and sign-off; flag anything that puts the release date at risk.
Project & Delivery Coordination
  • Maintain project plans, schedules, Gantt charts, and the client project tracker (Google Sheets).
  • Track milestones, deliverables, and dependencies; flag risks, blockers, and delays early.
  • Produce the recurring written documentation deliverables (navigation and feature guides) on a weekly cadence, and keep documentation current in Trello, the ticketing system, and the internal wiki.
  • Coordinate status between our development team and the client.
Client Deliverable Management
  • Track what the client owes us - inputs, access, test feedback, and sign-offs - and follow up before items are late.
  • Protect deadlines by working backward: if an input is due seven days before delivery and slips, raise it and reset the date immediately, before the deadline is missed.
  • Escalate delays that threaten timelines; communicate revised dates clearly.
Meeting Facilitation & Communication
  • Run the weekly status meeting: agenda, updates, action items, follow-ups.
  • Keep communication clear between Neo Code and the client, and hold owners accountable for their action items.



Requirements
What You'll Bring
  • Project coordination or technical PM experience, ideally with government, utility, healthcare, or enterprise clients.
  • Experience coordinating software testing / UAT cycles and tracking defects to closure.
  • Comfortable running a test cycle from a live spreadsheet scorecard and a card-based tracker, with screenshot evidence and per-case status.
  • Exceptional attention to detail and accuracy in client communication.
  • Follows detailed instructions precisely and works independently with minimal supervision.
  • Strong organization and proactive follow-up across multiple dependencies and stakeholders.
  • Excellent written and verbal English, including the ability to produce clear documentation.
  • Comfortable with Trello, Google Sheets, a ticketing system (e.g. Freshdesk), and wiki / knowledge-management tools.
  • Familiarity with Agile or hybrid delivery; exposure to FileMaker is a plus (this is a coordination role, not development).

Security & Compliance (Mandatory)
Our clients are government and utility organizations, so before accessing any client system you must complete a criminal record check and FOIPPA privacy training, and work on a machine running NinjaOne and SentinelOne. You don't need to own one - the team can provide a basic machine (Mac or Windows 11) and recover the cost from pay, or finance the purchase, so it is not on a personal device. These checks and tools are firm requirements.
