Job description

Description
Executive, Operations & Client Care Assistant
MetroHouse | Northern Virginia
Part-Time | Primarily In-Person / Field-Based
Schedule
This is a part-time position, approximately 15-25 hours per week to start, with a flexible schedule based on business needs. There is potential for the role to grow as MetroHouse continues to expand. Because this is a client-facing, hands-on position, some weeks may require greater flexibility than others.
MetroHouse is seeking a highly organized, resourceful, polished, and service-oriented Executive, Operations & Client Care Assistant to provide hands-on support to company leadership, clients, and our growing real estate business. This is not a traditional desk-based administrative position. MetroHouse already has remote administrative support in place.
We are looking for someone local who can become a trusted boots-on-the-ground partner-someone who can take ownership of details, provide an exceptional level of care to clients, and help ensure that the business operates seamlessly behind the scenes. The ideal candidate is proactive, dependable, warm, professional, and exceptionally detail-oriented. You enjoy taking care of people, anticipate needs before they are expressed, and are comfortable working in an environment where every day may look a little different.
What You'll Do
Client Care & Experience
  • Help deliver a thoughtful, high-touch experience to MetroHouse clients throughout their real estate journey
  • Serve as an additional point of contact for clients when appropriate
  • Check in with clients and assist with questions, appointments, and logistical needs
  • Coordinate client gifts, closing gifts, handwritten notes, special occasions, and other thoughtful touches
  • Help prepare for buyer and seller consultations, appointments, walkthroughs, and closings
  • Assist clients with coordinating movers, contractors, cleaners, vendors, and other services when appropriate
  • Maintain client-care calendars and help ensure important milestones and follow-ups are not missed
  • Assist with past-client appreciation initiatives and events
  • Help maintain relationships with past clients after closing
  • Identify opportunities to make the MetroHouse client experience more personal, memorable, and exceptional
  • Represent MetroHouse with warmth, professionalism, discretion, and excellent judgment

Real Estate & Business Operations
  • Visit properties throughout Northern Virginia as needed
  • Coordinate access for photographers, contractors, stagers, inspectors, vendors, and other service providers
  • Assist with preparing listings for market
  • Deliver and retrieve signs, lockboxes, marketing materials, documents, client gifts, and supplies
  • Help ensure properties are properly prepared before photography, showings, open houses, and client appointments
  • Conduct property check-ins and provide photos and updates when needed
  • Assist with open houses, client events, community events, and other MetroHouse activities
  • Coordinate local printing, purchasing, deliveries, and vendor needs
  • Maintain inventory of signs, marketing materials, supplies, and event items
  • Help troubleshoot last-minute issues involving properties, clients, appointments, or vendors

Executive Support
  • Provide hands-on support to company leadership
  • Handle local errands and time-sensitive assignments
  • Assist with meeting and event preparation
  • Coordinate appointments, reservations, deliveries, and service providers when a local presence is required
  • Help organize the office, materials, supplies, and other business resources
  • Assist with occasional personal and executive tasks
  • Work collaboratively with MetroHouse's remote administrative support so that online coordination and in-person execution happen seamlessly
  • Keep leadership informed without requiring constant oversight
  • Take ownership of assignments and follow through from beginning to completion

What Success Looks Like
Success in this role means becoming someone our leadership and clients know they can rely on.
When a client needs something, you care about making sure it gets handled. When a property needs attention, you take ownership. When something unexpected happens, you look for a solution.
You anticipate. You communicate. You follow through.
Ultimately, your role is to help create more time and capacity for company leadership while helping MetroHouse deliver a level of service that clients remember long after their transaction is complete.
To Apply
Please submit your résumé along with a short introduction answering the following:
  • Why does this particular position interest you?
  • Tell us about a time you went above and beyond for a client, customer, employer, or guest.
  • Tell us about a problem you were given with very little direction. How did you handle it?
  • What does exceptional client service mean to you?
  • What is your general weekday availability?
  • Do you have reliable transportation, and are you comfortable driving throughout Northern Virginia?

We are looking for the right long-term fit and will be selective in our hiring process.
