Are you someone who enjoys helping people, being organized, and keeping things running smoothly? The Utah State Board of Education (USBE) is looking for a friendly, dependable, and customer-focused Front Desk Receptionist to be one of the welcoming faces of our agency. As the first point of contact for employees, visitors, and callers, you'll play an important role in creating a positive experience for everyone who walks through our doors. Every day brings something new, from greeting visitors and answering phones to coordinating meetings, supporting fleet operations, and helping keep our office organized and running
efficiently.
Please note: This position provides on-site support that is essential to daily agency operations. The successful candidate will work in the office Monday through Friday from 8:00 a.m. to 5:00 p.m. Because of the responsibilities of this role, this position is not
eligible for hybrid or remote work.
As a member of the Administrative Services team, this position will:
- Welcome visitors, answer incoming calls, and direct guests and callers to the appropriate staff.
- Respond to general inquiries, relay messages, and validate visitor parking.
- Coordinate calendars and schedule meetings.
- Partner with the Administrative Services Manager to support agency operations fleet management, visitor services, and other administrative needs.
- Manage the agency fleet database, including vehicle scheduling, maintenance, and records.
- Help maintain an organized, professional appearance throughout the front lobby, conference rooms, and break rooms.
- Support office security by following established safety and visitor protocols.
- Coordinate with building management to address facility needs and services.
- Monitor office supply inventory and ensure supplies remain well stocked.
- Maintain electronic and paper filing systems, including organizing, labeling, filing, and retrieving records.
- Receive and distribute agency deliveries and shipments.
- Train backup reception staff on front desk procedures and customer service expectations.
- Serve as backup support for mail room operations by opening and distributing incoming mail, preparing and shipping outgoing packages, assisting with mail room coverage during staff absences, and helping ensure timely processing of agency mail and deliveries.
- Perform other administrative duties as assigned.

- Takes initiative and enjoys solving problems.
- Works well independently and as part of a team.
- Is proficient with common office software and technology.
- Has previous receptionist or administrative experience.
