Job description

Position Summary

The Intellectual Property Coordinator is responsible for supporting the administration of the Company's intellectual property portfolio, including patents, trademarks, and related legal documentation. Working closely with inventors, business leaders, and outside intellectual property counsel, this position coordinates patent and trademark filings, renewals, correspondence, document execution, and recordkeeping activities.

This role serves as the primary administrative liaison between the Company and outside legal counsel to ensure intellectual property matters are handled accurately, timely, and efficiently.

This is a part-time position expected to work approximately 16 hours per week during regular business hours.

Essential Duties and Responsibilities

  • Maintain and organize records related to patents, trademarks, applications, registrations, renewals, and other intellectual property assets.
  • Monitor and track deadlines associated with patent applications, trademark registrations, maintenance filings, and renewals.
  • Coordinate submission of information and supporting documentation requested by outside intellectual property counsel.
  • Assist with preparation, review, and processing of patent and trademark applications and related forms.
  • Maintain intellectual property databases, filing systems, and document repositories.
  • Serve as the primary point of contact for routine communications with outside intellectual property attorneys and legal service providers.
  • Track requests from counsel and ensure timely responses from internal stakeholders.
  • Coordinate document reviews, approvals, signatures, and submissions.
  • Maintain status reports on active patent and trademark matters.
  • Work with inventors and technical personnel to gather information needed for patent filings and responses.
  • Assist inventors in understanding patent-related correspondence, application materials, and filing requirements.
  • Coordinate meetings and communications between inventors and outside counsel.
  • Follow up on action items and deadlines to ensure timely completion.
  • Prepare reports and summaries regarding patent and trademark activity.
  • Track legal invoices and assist with budget administration related to intellectual property matters.
  • Support special projects related to intellectual property management and corporate legal administration.

        Education and Experience

        • Associate's degree or equivalent experience required.
        • Bachelor's degree, Paralegal Certificate, or intellectual property administration experience preferred.
        • Two or more years of experience supporting legal, intellectual property, patent, trademark, or corporate administrative functions preferred.
        • Experience working with outside legal counsel preferred.

        • Ability to manage multiple projects and deadlines simultaneously.
        • Excellent written and verbal communication skills.
        • Ability to maintain confidentiality and exercise discretion.

        Compensationย 

        The base salary range for this position is budgeted for $29.69ย toย $45.12 an hour, with eligibility for overtime and an annual bonus. The actual base salary depends on various factors and could be above or below the range depending on the applicant's qualifications, years of relevant experience, specific skills, level of education, business needs, and market demand. The full salary range for this role reflects this position's competitive labor market value and provides an opportunity to progress as associates grow and develop within the role. ย Bonuses are paid based on RTCโ€™s financial results.ย  Any payouts awarded in the first year of employment are pro-rated based on the start date.ย  Program rules are subject to change at managementโ€™s discretion.ย
