The King County Road Services Division is seeking two (2) part-time Administrative Specialist III candidates (One Career Service full-time role and one Short-Term Temporary role up to six months) to provide essential support and office management for the Roads Section. This role involves close collaboration with payroll staff, section and unit managers, and employees, while managing diverse administrative and coordination responsibilities with efficiency and precision. Job Duties
Job Duties
  • Provide administrative and office management support to Maintenance Section including managers, supervisors and staff of 90+ employees;
  • Compose, proofread, and edit written materials to include skill in proofing and formatting documents, charts, graphs, spreadsheets, and tables;
  • Provide customer service to internal and external customers, including research requests and provide information and/or reports;
  • Verify employee timesheets in PeopleSoft including accurate budget charge coding on employee daily timesheets for multiple projects;
  • Research and help to resolve incorrect charges or discrepancies for invoices;
  • Prepare and process invoices for the Maintenance Section (e.g., purchases made by maintenance staff to be used for projects or programs);
  • Use P-Cards to pay for purchases, verify the POETA coding and reconcile bank statements;
  • Enter invoices into Oracle, scan and email invoices to appropriate County department personnel for authorization ,and track authorizations are completed;
  • Responsible for accounts payable operations; including accurate budget charge coding and tracking by project; budget charge reconciliation for multiple projects in Oracle;
  • Handle support responsibilities which include ordering and maintaining inventory of office supplies; scheduling routine maintenance and/or repairs on office equipment; process and date stamp mail and related correspondence or information before forwarding mail to staff; identify and prioritize time sensitive matters;
  • Perform other duties as assigned.

Experience, Qualifications, Knowledge, Skills
  • A minimum of 2 years of progressively responsible administrative assistance experience, as described in the job duties, or any combination of experience/education/training related to the duties of this position and required knowledge, skills, and abilities.
  • Experience processing payroll and accounts payables.
  • Knowledge of general office principles and practices.
  • Proficient using Microsoft Outlook, Teams, Excel and Word software applications.
  • Effective communication skills in person, via telephone and in writing (effectively using discretion, patience, etiquette, and professionalism).
  • Ability to work on multiple tasks requiring a high degree of accuracy in a high pressure/short deadline/precise schedule environment.
  • Ability to maintain high degree of confidentiality with sensitive and personal information.
  • Ability to be self-directed and effectively plan, organize, prioritize work on a daily basis.
  • Ability to work independently and effectively be part of a team that contributes to a work environment that embraces and encourages diversity in its workforce and where differences are valued.
  • Ability to demonstrate behaviors that include fairness, respect, and inclusiveness.
DESIRED QUALIFICATIONS:
  • Knowledge of PeopleSoft payroll system (Oracle EBS).
  • Knowledge of Road Works.
  • Experience working in a public works environment.
  • Strong communication skills, written and verbal.

PAY ON SDA PLACEMENT
Current employees selected for SDA will be compensated based on the provision of the Collective Bargaining Agreement or Master Labor Agreement for their base assignment if applicable.

WORK SCHEDULE:
This is a 20-hour work schedule that will consist of four, 5 hour days in the spring/summer, Monday - Thursday, and five, 4 hour days in fall/winter, Monday - Friday. This position is non-exempt from the Fair Labor Standards Act and is overtime eligible. Mandatory overtime may be required.
EMERGENCY DESIGNATION STATUS:
Mission-Critical Employees: Those employees who provide, maintain, and re-establish essential county functions as described in agency Continuity of Operations plans.
