Job description

Richards Building Supply is seeking a detail-oriented and highly organized Recruiting Coordinator to support our Talent Acquisition team during a period of growth and team transition. This position will initially be a part-time seasonal contract role and is expected to expand in scope to provide maternity leave coverage through the holiday season and into the new year.
This role will partner closely with the Talent Acquisition team to support day-to-day recruiting operations, candidate communications, interview scheduling, sourcing activities, and applicant tracking system administration. The ideal candidate enjoys managing multiple priorities, providing an excellent candidate experience, and keeping processes running smoothly behind the scenes. As training progresses, this individual will have the opportunity to assume greater recruiting responsibilities, including candidate screening and full-cycle recruiting support.
What You'll Do
Recruiting Operations & Candidate Management
  • Review incoming applications and identify qualified candidates for recruiter review.

  • Process candidate records and maintain accurate information within the Applicant Tracking System (ATS) and CRM.

  • Update candidate statuses, notes, and recruiting activity records.

  • Send candidate communications including interview confirmations, reminders, and rejection emails.

  • Monitor candidate pipelines and proactively follow up with applicants throughout the hiring process.

  • Support offer administration, including offer preparation and tracking.

Interview Coordination
  • Schedule phone screens, virtual interviews, and onsite interviews.

  • Coordinate interview availability between candidates and hiring managers.

  • Send interview confirmations, reminders, and updates.

  • Reschedule interviews as needed and ensure a smooth candidate experience.

  • Follow up with hiring managers regarding interview feedback and next steps.

Candidate Sourcing & Outreach
  • Source candidates through job boards, talent databases, and sourcing platforms.

  • Support recruiting campaigns through email and SMS outreach.

  • Maintain candidate searches and talent pools across multiple recruiting tools.

  • Assist with candidate engagement initiatives designed to generate applicant flow for priority openings.

Talent Acquisition Administration
  • Create and maintain job requisitions and job postings.

  • Ensure recruiting platforms and sourcing tools are properly configured for active openings.

  • Monitor applicant flow and identify recruiting bottlenecks.

  • Generate recruiting activity updates and assist with reporting.

  • Help maintain recruiting processes, documentation, and system data integrity.

Growth Opportunity
As onboarding progresses, this role will expand to include:
  • Conducting phone screens and initial candidate assessments.

  • Managing candidate pipelines for assigned positions.

  • Partnering with hiring managers throughout the recruiting process.

  • Supporting full-cycle recruiting activities during maternity leave coverage.

Qualifications
  • Previous experience in recruiting, human resources, customer service, administrative support, scheduling, or a related field preferred.

  • Strong organizational skills and ability to manage multiple priorities simultaneously.

  • Excellent written and verbal communication skills.

  • Ability to work independently and follow through on tasks with minimal supervision.

  • Strong attention to detail and commitment to maintaining accurate records.

  • Comfortable learning new technology and working within multiple software systems.

  • Proficiency with Microsoft Office products, including Outlook, Excel, and Teams.

  • Experience with ATS, CRM, or recruiting platforms is a plus.
