CLASS SUMMARY:Incumbents are responsible for performing administrative support activities of a specialized nature within the office of the Greene County Regional Planning and Coordinating Commission (RPCC). Duties might include: preparing and processing documents, property transfer information, special assessments, agreements, contracts, other specialized documents; taking in zoning cases or subdivisions and distributing; coordinating and scheduling meetings; entering data related to reducing and/or releasing bonds and/or letters of credit; compiling and calculating data to be used in a variety of reports; and, researching and locating information pertaining to requests and to assist in resolving problems.
DISTINGUISHING CHARACTERISTICS:The Administrative Support Specialist is the third level of a three-level administrative support series. The Administrative Support Specialist is responsible for performing duties of a specialized nature, which requires knowledge of the area or field of assignment. The position also requires independent judgment and problem solving requiring general knowledge of office policies and services.
Part time position, hours not to exceed 29 hours a week.
Duties/Responsibilities
ESSENTIAL DUTIES: (These duties are a representative sample; position assignments may vary.)• Accepts documents such as survey records and subdivision plans and examines to determine completeness and accuracy of documentation and necessary actions to be taken. Prepares, processes, assigns numbers to various documents and applications.
• Answers phones and greets visitors including directing calls and visitors, taking messages, and providing routine information. Answers questions regarding services provided or the departmental policies and procedures; resolves problems related to services provided or departmental operations.
• Takes minutes and transcribes documents and tapes.
• Performs routine data entry including maintaining mailing lists and entering billing information.
• Coordinates manager's calendars and schedules and makes travel arrangements, coordinates and schedules special meetings, training calendars, and sites. Collects and compiles information in preparing a variety of reports; prepares flyers and brochures using desktop publishing programs.
• Accepts and receipts deposits, fees, bonds, and letters of credit; deposits fees, keeps and maintains the office budget and financial records. Receives a variety of forms applications, deliveries, and monies; verifies amounts and issues receipts.
• Reviews records to ensure they meet legal and regulatory guidelines, documentation is timely and records are closed out, and to coordinate the release of information. Keeps leave forms; comp. time, sick, and vacation time records.
• Runs errands such as picking up supplies or confidential materials and making deliveries.
• Performs other duties of a similar nature or level.

Minimum Qualifications
Training and Experience (position requirements at entry):High School Diploma or General Equivalency Diploma (G.E.D.), and two years of experience related to the area assigned to, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. Preference is given to candidates with training and experience with zoning, planning, real estate, and/or Ohio civil law.
Licensing Requirements (position requirements at entry):May require:
• Ohio Driver's License

Physical Requirements:Positions in this class typically require: stooping, crouching, standing, walking, driving, reaching, fingering, pushing, pulling, lifting, grasping, talking, hearing, seeing and repetitive motions.
Sedentary Work. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
There is a wide variety of benefits available to full-time permanent and some part-time permanent Greene County employees. These benefits include: health, dental, vision, life insurance, optional life insurance plans, wellness program, employee assistance program, and deferred compensation plans.
The County pays 80% of the health care premium and 39% of the dental premium. All full-time employees are eligible for $50,000 group life insurance paid 100% by the County.
NOTE: Employees who are non-permanent, seasonal, intermittent, part-time scheduled for less than 60 hours per pay period, and external interim, are not benefit eligible.
