Location: Fort Lauderdale, Florida

Schedule: Part-Time | 20–25 Hours per Week

Hours: Monday–Friday between 9:00 AM and 6:00 PM EST (Flexible schedule within business hours. Please provide your availability within this timeframe.)

Compensation: $24.00–$26.00 per hour, based on experience.

Position Summary

The Administrative Assistant provides executive and operational support to the Chief Executive Officer while helping maintain the internal systems and processes that keep the organization operating efficiently.

This position is responsible for executive calendar management, inbox organization, meeting coordination, documentation, project tracking, digital organization, workflow coordination, and general administrative support.

The ideal candidate is exceptionally organized, detail-oriented, proactive, and capable of managing multiple priorities while maintaining confidentiality and professionalism.

This role works closely with the Sales Coordinator / Sales Enablement Specialist to ensure seamless coordination across executive priorities, sales support, and daily business operations.

Essential Functions & Primary Responsibilities
Executive Support

  • Manage the CEO's calendar, scheduling, and meeting coordination.
  • Manage executive inboxes, including organizing communications, routing messages, and responding on behalf of leadership when appropriate.
  • Coordinate internal and external meetings.
  • Track executive priorities, projects, and deadlines.
  • Prepare daily executive briefings highlighting completed work, upcoming priorities, and outstanding action items.
  • Assist with travel arrangements, meeting preparation, and executive correspondence as needed.
  • Provide general administrative support to executive leadership.

Operations Support

  • Organize and maintain digital filing systems and shared resources.
  • Maintain operational documentation, templates, and internal reference materials.
  • Coordinate recurring operational tasks and deadlines.
  • Assist with documenting and improving internal workflows and business processes.
  • Support operational projects and company initiatives.
  • Maintain centralized calendars and operational tracking systems.

Administrative Systems

  • Support Microsoft 365, Outlook, Teams, RingCentral, and other business applications.
  • Assist with operational reporting and tracking.
  • Coordinate internal communications and administrative requests.
  • Maintain organized digital workspaces and document libraries.
  • Support the implementation of new systems and operational improvements.

  • Minimum of three (3) years of Executive Assistant, Administrative Assistant, Operations Assistant, or similar experience.
  • Exceptional organizational and multitasking skills.
  • Strong attention to detail and follow-through.
  • Excellent written and verbal communication skills.
  • High level of professionalism and confidentiality.
  • Proficiency with Microsoft 365, Outlook, Teams, Excel, and other office applications.
  • Experience maintaining documentation and administrative systems.
  • Comfortable utilizing AI tools such as ChatGPT and Gamma.
  • Ability to learn new technology platforms quickly.
  • Ability to prioritize competing demands while maintaining accuracy and professionalism.

Preferred

  • Experience supporting executive leadership.
  • Experience working in a professional services or consulting environment.
  • Experience with project coordination or operations support.
  • Familiarity with CRM systems and business process documentation.
