What You’ll Do

In this position, you will play an important part in creating a welcoming and supportive environment for clients while helping keep daily office operations running smoothly by:

  • Greeting clients and handling receptionist duties, including a multi-line phone system
  • Scheduling appointments and processing intake paperwork
  • Collecting payments and sending reminders
  • Performing data entry and managing client files for accuracy
  • Handling general office duties like filing, scanning, faxing, and correspondence
  • Processing outgoing mail and keeping common areas organized
  • Ensuring compliance with HIPAA, mandated reporting, and data privacy regulations
  • Supporting both clients and coworkers with dignity and respect
  • Jumping in on other duties as needed to keep the office flowing
Requirements:

What We’re Looking For

  • Education: High school diploma required; associate’s degree or vocational training preferred
  • Experience: 2+ years in an administrative role (experience with electronic health records is a plus)
  • Skills:
  • Strong customer service and interpersonal skills
  • Proficiency in Microsoft Office Suite
  • Excellent organizational skills and attention to detail
  • Knowledge of HIPAA privacy rules
  • Ability to work independently and as part of a team
  • Other: Familiarity with clerical systems such as filing and recordkeeping
