In this role, you are a foundational pillar of our recruiting function - owning the movement, logistics, and candidate touchpoints that ensure we make exceptional hires efficiently.
At Pagaya, we are transforming traditional talent acquisition into a modern, tech-enabled function. This is a flexible, part-time position designed for someone who brings operational precision, white-glove candidate care, and a desire to help build and scale best-in-class recruiting processes.
Responsibilities
Scheduling & Pipeline Logistics
  • Manage complex end-to-end interview scheduling across multiple roles, coordinating video and potential on-site interviews across varying time zones.
  • Partner seamlessly with recruiters, hiring managers, interviewers, Executive Assistants, and global internal stakeholders.
  • Track and manage candidates through our Applicant Tracking System (Greenhouse), proactively ensuring interview feedback is submitted promptly and escalating potential bottlenecks.

  • Serve as the primary ambassador for Pagaya's candidate experience, delivering high-touch, thoughtful communication from initial contact through onboarding.
  • Act as the candidate host for executive or key candidate interactions, ensuring a seamless, high-bar recruitment journey.
  • Support interviewers by providing necessary materials, context, and operational guidance to deliver a smooth interviewing process.
Data Discipline & Recruitment Operations
  • Maintain impeccable Greenhouse ATS hygiene, workflow documentation, and team content libraries.
  • Identify operational inefficiencies in the coordination lifecycle, recommending and testing workflow automations and best practices to standardize and scale our recruiting process.
  • Provide crisp, proactive status updates and reports to hiring managers ahead of recurring talent strategy meetings.
Stakeholder & Sourcing Support
  • Partner closely with U.S. recruiters and collaborate on cross-functional global initiatives (including peers in Israel).
  • Provide recruiters with active search support, including initial resume screening, preliminary sourcing, and candidate lead identification.
  • Collaborate with recruiters and hiring managers to design structured interview plans and maintain objective hiring standards.
Qualifications
  • Experience: 3+ years of experience as a Recruiting Coordinator, HR Assistant, or similar candidate-facing operational role in a fast-paced tech, fintech, or modern corporate environment.
  • Systems Expertise: Hands-on experience with Greenhouse ATS, Google Workspace (G-Suite), LinkedIn Recruiter and AI tools; comfort adopting new tech tools and recruitment automations.
  • Communication & Presence: Exceptional written and verbal communication skills with the ability to provide high-touch service to candidates and senior internal stakeholders alike.
  • Precision & Confidentiality: Meticulous attention to detail, strong organizational skills, and a proven ability to handle sensitive information with complete confidentiality.
  • Problem Solving & Adaptability: Nimble, solution-oriented mindset with the ability to pivot quickly in an evolving, high-growth environment.
  • Work Schedule: Availability to work a structured part-time schedule of approximately 20 hours per week (distributed across core business hours).
