Job description

Position:  Attendance Secretary for Online School 

This is a part time/in person position, but could be combined with another secretarial position within the District. Contact Daniel Ludvigson at dludvigson@lpge.k12.mn.us or Barb Graves at bgraves@lpge.k12.mn.us.  Long Prairie-Grey Eagle School is looking for an energetic Online Attendance Secretary at our Secondary School.  We are a small school located in central Minnesota.  We are a hour's drive from St. Cloud, 2 hour drive from the Twin Cities, 30 minutes from Alexandria, and 3 hours from Duluth.  We are surrounded by area lakes, parks, and have one of the last Drive-In Movie theatres in Minnesota.  We have a diverse community consisting of European, Mexican, Caribbean, and other nationalities.  Fifty two percent of our student population identifies as Hispanic.  Todd County is also home of an active Amish population.  We serve the communities of Grey Eagle, Burtrum, and Long Prairie. 

Job Summary: 

  • Responsible for attendance monitoring, student engagement tracking, student information management, family communication, and administrative support for the District's online learning program. 

Secondary Office Duties and Responsibilities: 

  • Monitors, records, maintains, and reports attendance, engagement, enrollment, and discipline data required by the District and Minnesota Department of Education (MDE), including preparation of required reports and compliance documentation. 


  • Performs general office and clerical support duties including preparing correspondence, answering phones, maintaining calendars and records, routing communications, and supporting program operations.
  • Communicates with students and families regarding attendance, participation, enrollment, online learning requirements, access to instructional platforms, and routine technology concerns, referring advanced issues to appropriate personnel.
  • Maintains accurate student records within District information systems, including enrollment, withdrawal, attendance, discipline, demographic, and contact information.
  • Maintains proficiency in District software systems used for student information management, attendance tracking, communication, engagement monitoring, and online learning support.
  • Ensures confidential information is handled securely and in compliance with District policy, FERPA, and other applicable laws.
  • Assists with school events, registration activities, conferences, graduation activities, and other program support functions as assigned.
  • Performs other duties as assigned that are similar, related, or logically assigned to the position. 
  • Provides clerical support and assistance to other District offices and programs as assigned, consistent with the duties and classifications contained within the clerical bargaining unit. 

.Minimum Qualifications: 

  • Requires a high school diploma or equivalent and one (1) to three (3) years of clerical, administrative support, customer service, attendance, student records, or related experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the position. 

Essential Knowledge and Specialized Subject Knowledge Required to Perform the Essential Functions of the Job: 

  • General office procedures, customer service practices, and professional office etiquette.
  • Student records, enrollment, registration, withdrawal, attendance, and data management procedures.
  • Student Information Systems (SIS), online learning platforms, and District communication systems.
  • FERPA, student data privacy requirements, and confidentiality standards.
  • Attendance reporting, compliance requirements, and state reporting procedures.
  • Basic troubleshooting procedures for common technology, account access, and online learning issues.
  • Record maintenance practices, data entry procedures, and information management systems used in a school setting.

Essential Skills Necessary to Perform the Work

  • Strong customer service and interpersonal communication skills, including the ability to interact professionally and maintain confidentiality when working with students, parents, staff, and the public.
  • Basic mathematical skills sufficient to perform routine calculations and maintain accurate records.
  • Proficiency in operating computers and utilizing office productivity software, including word processing, spreadsheets, email, presentations, Google Workspace, and other technology applications.
  • Ability to learn and operate District software systems used for attendance tracking, student records, enrollment management, communication, reporting, and online learning support.
  • Ability to accurately enter, maintain, track, and report student information while demonstrating strong attention to detail and organizational skills.
  • Ability to generate, interpret, and communicate attendance, engagement, participation, and student data reports.
  • Ability to manage multiple priorities, communication platforms, databases, and reporting systems while meeting deadlines and maintaining accuracy.

Work Environment & Physical Job Requirements:  

  • Provides clerical support and assistance to other District offices and programs as assigned, consistent with the duties and classifications contained within the clerical bargaining unit The work environment presents minimal risks or hazards associated with the work.
  • Employees are continuously required to talk, hear, and use hands and fingers dexterously. Work frequently involves sitting and intermittently requires standing, walking, reaching, stooping, kneeling, and crouching. Employees may occasionally exert up to 10 pounds of force to lift, carry, push, pull, or otherwise move objects.
