Job Description
This Opportunity
WSP is currently initiating a search for a Project Coordinator to support Utah projects for the transportation and infrastructure team based in WSP's South Jordan, UT office. The person will be assigned to a project office in Holladay, UT for 50% of the time to assist a project team, client, subcontractors, and visitors.
Your Impact
  • Support executive-level leaders and project managers by providing day-to-day administrative support and project assistance.
  • Prepare, draft, and edit project-related reports, correspondence and communications including letters, memos and reports, PowerPoint slide decks, and potentially confidential information.
  • Arrange meetings including polling dates/times, scheduling room reservations, handling food ordering, conference room preparation, and taking meeting notes.
  • Provide general admin support for transportation executives including expense report prep, travel arrangements, and other items as assigned.
  • Keep a tracking log of T&I projects' major contract dates, deadlines, and order insurance certificates and renewals before expiration.
  • Coordinate with WSP facilities team to execute office administrative items for the project office.
  • Work within our intranet databases to support project managers with data entry and reporting.
  • Assists with document controls, filing, and general organization.
  • Solve problems and identify opportunities for process improvements to meet evolving business needs.
  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP's Code of Conduct and related policies and procedures.
  • Perform additional responsibilities as required by business.
Who You Are
Required Qualifications
  • High School Diploma or equivalent.
  • 5+ years of experience
  • Excellent interpersonal, written and verbal communication skills, highly organized, and detail-oriented with a commitment to achieving a high level of accuracy.
  • Self-starter capable of taking on tasks with little direction or supervision.
  • Must possess a high level of professionalism and positive attitude when interacting with clients, subcontractors, managers, colleagues and senior leadership.
  • Strong computer and typing skills.
  • A strong team player with excellent collaborative skills and the ability to work across multiple departments.
  • Proficient in Microsoft Office 365 (Teams, Word, Excel, PowerPoint, SharePoint) and Acrobat Pro DC. Know how to use style guides and templates.
  • Proven track record of upholding workplace safety and ability to abide by WSP's health, safety and drug/alcohol and harassment policies.
  • Must be able to travel to and from project offices, client offices, and main office as required.
  • Must be able to carry up to 25 pounds.
  • Flexible to allow part time or full time status.

Preferred Qualifications
  • Associates or Bachelor's degree desirable.
  • Ability to create pivot tables and reports in Excel.
  • Ability to develop slide decks following templates and creating PowerPoint Smart Graphics and Tables.
  • Knowledge of BlueBeam, ProjectWise, and ProCore a plus.
