Objective
This position may require you to work at either the Main Library Branch or the Gossamer Grove Branch.
Under direct supervision, provide support in the planning, coordination, and implementation of community programs and services provided by the Community Services Department. Assignments may include the Shafter Library & Learning Center, the Gossamer Branch of the Shafter Library, the Mobile Library Vehicle, the Shafter Aquatic Center, or Downtown events. Serve as the point of contact to assist the public in the assigned division. Provide support to activities in each of these settings, such as, but not limited to, assisting with events or programs, providing customer service, maintaining records, processing forms, and designing flyers. Perform related duties as assigned.
DISTINGUISHING CHARACTERISTICS
Community Services Assistant I: This is the entry-level class in the Community Services Assistant series. Under close supervision, incumbents in this class perform routine tasks while they learn the basics of community service support. Decisions are typically made within established guidelines, with supervisory input for more complex or unfamiliar situations.
Community Services Assistant II: This is a journey-level class in the Community Services Assistant series. Incumbents at this level can perform advanced and complex duties. This class is distinguished from Community Services Assistant I by the level of responsibility assumed and the complexity of the duties assigned. Incumbents at this level are required to be fully trained in all procedures related to the assigned area(s) of responsibility and work with a high degree of independent judgment, tact, and initiative.
Part-time appointments are limited to working less than 1000 hours in a fiscal year.
Essential Job Duties and Responsibilities

  • Provide excellent customer service to community members, addressing inquiries and resolving issues; assist with registrations, applications, and other service-related forms; maintain a welcoming and informative presence at community service facilities and events.
  • Monitor public areas and address disruptions; contact the supervisor if needed.
  • Under the manager's direction, use design software to create flyers and social media posts consistent with the brand and mission.
  • Develop displays for the lobby, library, exterior, and outreach in collaboration with staff and managers.
  • Compile class schedules and support publication and website posting of course listings.
  • Update information and graphics and perform basic troubleshooting on website and social media sites.
  • Check out, receive, and shelve books; use Library Management software.
  • Maintain accurate program attendance records, participant information, feedback, and other data.
  • Process invoices and submit them for approval.
  • Proofread data and publication drafts.
  • Set up and participate in public events, representing the department in public with information and talking points under supervision or with specific instructions. This may involve driving the Library Outreach Vehicle.
  • Support teachers and library staff in educational work; tutor and read to students or assist in classrooms; stay updated on educational best practices and methodologies to continually enhance tutoring techniques; participate in all required training to ensure the knowledge base is current.
  • Answer telephones and greet visitors in a polite and professional manner; offer information on available programs, policies, and the City's mission.
  • Maintain the computer lab, cleaning and organizing it to ensure proper functionality; troubleshoot issues and assist computer users as needed.
  • Receive payments and write receipts for services requiring payment.
  • Attend monthly team meetings.
  • Participate in event planning, including creating project timelines, budget planning, supply purchasing, volunteer recruiting, and setting up and taking down event items.
  • Prepare items for new sessions, confirm inventory, and create catalogs and brochures.
  • Perform duties of a disaster services worker in the event of an emergency.
  • Perform other related duties as assigned.

Minimum Requirements
EDUCATION AND EXPERIENCE
Community Services Assistant I
  • High School Diploma or equivalent; and
  • Completion of any college-level coursework in a closely related field is highly desired.
  • Fluently read, write, and speak Spanish.

Community Services Assistant II
  • High School Diploma or equivalent; and
  • Completion of any college-level coursework in a closely related field is highly desired.
  • Ability to perform advanced and complex duties with a high degree of independent judgment, tact, and initiative.
  • Fluently read, write, and speak Spanish.

Knowledge, Skills, and Abilities
Knowledge of:
  • Computer applications related to the work, including Google Docs or Microsoft Office word processing, spreadsheet, and graphic design applications.
  • Applicable Federal, State, and local laws, codes, regulations, policies, technical processes, and procedures related to the department to which assigned.
