Position Summary

The Guest Experience Scheduler is part of the Guest Experience team, responsible for delivering exceptional experiences to everyone through support and delivery of guest service programs across the organization. The Scheduler reports to the Manager, Guest Experience and manages the schedule for three teams within the Guest Experience team along with other administrative tasks.

The Guest Experience Scheduler position available is a casual-part-time position that will require the successful candidate to work flexible hours throughout the week. Scheduled hours may be 0 – 40 hours per week with no guarantee of hours based on the operational needs of the team.

Responsibilities

Responsibilities include but are not limited to:

  • Schedule employees for Guest Experience, including the 10-day Stampede.
  • Inputting Daily Function information for event sheets and Building Activations.
  • Provide time and attendance support for department.
  • Obtain and review staffing requirements to ensure adequate event coverage.
  • Revise staffing schedule to accommodate planned or unplanned changes as required.
  • Assist with payroll by editing and updating timecards.
  • Assisting with and creating employee communications.
  • Owning the Guest Experience work orders and ensuring appropriate resources are ordered for events related to Guest Experience.

Qualifications

The ideal candidate will be proactive, adaptable and great at multitasking, as well as the following: 

  • Experience scheduling for a diverse organization.
  • High attention to detail is required.
  • Intermediate experience in Excel, Word and Outlook is required.
  • Knowledge of an event-based management system is considered an asset.
  • Must be highly organized, be able to multitask and meet multiple deadlines.
  • Possess strong communication skills including the ability to proofread and edit for errors.
