Job description

Oliver Winery is looking for a detail-oriented person to join our Hospitality team as the Part time E-Commerce and Wine Club Coordinator. As the E-Commerce and Wine Club Coordinator, you will play a pivotal role in managing and overseeing the fulfillment of e-commerce orders and the administration of our wine club. You will work closely with the Tasting Room Manager to ensure a seamless and efficient process, from order placement to delivery, while also fostering strong relationships with our wine club members. This position requires a detail-oriented individual with a passion for the wine industry, exceptional organizational skills, and a commitment to delivering an outstanding customer experience.
Standard Tasting Room Functions:
• Greet customers promptly and courteously.
• Assist customers in selecting wines and facilitate transportation of purchases.
• Set up and clean up daily operations and occasional special events.
• Stock wine and retail merchandise in the Tasting Room.
• Accurately perform inventory and money-handling procedures.
• Undertake additional duties as assigned by Management.
E-Commerce and Wine Club Coordinator Functions:
• Provide exceptional customer service to both e-commerce customers and wine club members.
• Monitor both the Wine Club and Shipping inboxes for communication.
• Process and fulfill all online orders promptly and accurately, this includes processes in C7-
Ship compliant as well as World Ship.
• Ensure order compliance is achieved for all orders before shipping.
• Work with the Compliance Manager regularly to communicate compliance issues.
• Coordinate with shipping staff to ensure timely and secure packaging of products.
• Provide packing and shipping support as needed.
• Address and resolve any issues related to e-commerce order fulfillment.
• Manage the administration of the wine club, including processing new memberships, renewals,
and cancellations.
• Maintain accurate and up-to-date member records and preferences.
• Respond promptly to inquiries and resolve issues with professionalism and courtesy.
• Communicate effectively with customers regarding order status, shipping, and any other
inquiries.
Requirements
Previous experience in e-commerce fulfillment and wine club administration is highly desirable.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Excellent communication and interpersonal skills.
  • Familiarity with e-commerce platforms and customer relationship management (CRM) systems.
  • Passion for the wine industry and a commitment to delivering a high level of customer satisfaction.

PHYSICAL DEMANDS/WORK ENVIRONMENT: This position may require lifting and carrying up to 40 pounds. Work in an office setting with occasional visits to the warehouse or tasting room.
TYPICAL SCHEDULE: Position is part-time. Schedule is Monday-Friday during normal business hours 8am-6pm. Occasional weekend work may be needed on a seasonal basis.
PERFORMANCE STANDARDS: Performance will be evaluated based on the accuracy and efficiency of e-commerce order fulfillment, wine club administration, and customer satisfaction metrics.
FLSA Classification: Part-Time, Non-exempt
