Job description

Title: House Manager & Family Assistant

Location: San Jose, CA 95124

Employment Type: Part-time, 20-25 hours per week

Schedule: Core hours: Tuesday, Wednesday, Thursday from 12:00 PM to 6:00 PM. Additional flexibility for other weekdays, occasional evenings, and weekends as needed.

Compensation: $40-45 per hour / based on experience

Start Date: ASAP

Requirements

  • Maintain a smoke-free environment
  • Reliable personal transportation with valid driver's license and clean driving record
  • Comfortable being a swimmer (pool safety)
  • CPR and First Aid certification strongly preferred
About Our Family

We are an active, and adventure-loving family with 11-year-old boy-girl twins entering middle school and two college -age sons who are home during the summers. Our twins are heavily involved in all of the sports:competitive soccer, softball, baseball, flag football, and basketball, and our daughter also loves theater, singing, and dance. We also have a new six-month-old Bernadoodle puppy named Bodie who keeps everyone on their toes and adds plenty of energy to our home.

As a family, we prioritize experiences and quality time together. We love adventure travel and have created memories of dog sledding under the Northern Lights in Finland, zip-lining in Costa Rica, and hiking through some of our favorite destinations. At home, you'll often find us enjoying pool time, family movie nights, and hosting friends and family, especially during the holidays.

We are both executives with demanding schedules, and this stage of life can feel wonderfully full and fast-paced. With long workdays and a full household calendar, we're looking to intentionally create more space to be present with our children during these important years. Our goal is to build a support system that allows us to focus on what matters most: meaningful family time, being engaged parents, and creating a well-run home without carrying every task ourselves. You naturally anticipate needs, take initiative, and enjoy creating systems that help a household run smoothly.

Building genuine relationships with children comes naturally to you. You understand the balance between being warm and approachable while maintaining healthy boundaries and professionalism. Rather than doing everything for the kids, you enjoy coaching and encouraging independence, helping them develop strong executive functioning skills, responsibility, and confidence as they navigate the transition into middle school. Gamifying chores is a bonus! You approach each day with a positive, professional, and energetic attitude, modeling engagement and presence at all times. During working hours, you remain focused on the children and family's needs, limiting personal screen time to emergencies or work-related tasks and errands only.

You are tech-savvy, detail-oriented, and comfortable managing household systems, schedules, inventories, and projects. You're adaptable, patient, and reliable, with the ability to pivot as priorities change. An active lifestyle is a plus-you'll be supporting a sports-focused family, so being able to keep up with a busy calendar of practices, games, and activities is important. Experience with or enthusiasm for sports, theater, or youth activities is welcomed. You're a safe and dependable driver, comfortable around pets, able to swim for pool safety, and committed to maintaining a healthy, screen-free presence while working. Most importantly, you enjoy creating environments where families can be fully present and connected.

Key Responsibilities

Family Support

  • School pickups and drop-offs to various sporting and extra curricular activities
  • Light supervision and backup childcare as needed
  • Support and coach children to prepare their own backpacks, clothing, snacks, and school-related items
  • Ensure homework is completed before screen time with a quick review to confirm completion
  • Help establish organizational habits as the kids transition to middle school
Household Organization & Maintenance
  • Daily tidying and resets including dishes, wiping surfaces, and vacuuming high-traffic areas
  • Maintain household organization systems
  • Prepare and coordinate donation drop-offs
  • Event, holiday, and guest preparation (including large gatherings)
  • Change batteries, light bulbs, check smoke detectors, etc.
  • General organizational projects such as toy rotation, gear sorting, and uniform management
Inventory & Errands
  • Maintain running household lists for groceries and supplies
  • Manage Costco, Amazon, and Target subscriptions and shopping
  • Manage returns and gift shopping
  • Bring in mail, sort it, and break down delivery boxes
Meal Support
  • Create a weekly meal plan aligned with the family's preferences, schedule, and dietary needs
  • Shop for groceries and keep kitchen staples stocked
  • Prepare and cook 3 simple, healthy family-style dinners per week
  • Wash and chop fruits and vegetables for easy grab-and-go access
  • Maintain a clean, organized kitchen, including meal-prep cleanup and basic inventory management
Laundry & Linens
  • Wash, fold, and organize all family laundry including sports uniforms
  • Linen rotation in kid's rooms
  • Towel rotation for entire home
Pet Care
  • Walk dog and engage in play during visits
  • Coordinate grooming and veterinary appointments
  • Maintain pet supplies
Vendor & Property Oversight
  • Oversee contractors, landscapers, and cleaners
  • Research vendors and coordinate quotes for household projects
  • Manage window washers and other maintenance services
  • Seasonal outdoor space prep: Reset and refresh outdoor living areas, including washing outdoor cushions, organizing outdoor dishes and serving ware, tidying cabinets and storage spaces
Deep Cleaning & Special Projects
  • Quarterly deep clean of refrigerator
  • Organizational projects as needed
