Job description

Position: Part-Time Bookkeeper
Employment Type: Part-Time

Hours: Approx. 30hrs week
Reports To: Senior Accountant / Accounting Manager / Firm Owner

Position Summary

We are seeking a detail-oriented, organized, and dependable Part-Time Bookkeeper to join our CPA firm. This position will be responsible for maintaining accurate and timely accounting records for a portfolio of business clients across multiple industries.

Unlike an in-house bookkeeping position focused on a single company, this role requires the ability to efficiently manage multiple client accounts simultaneously, understand the unique accounting needs of each business, meet recurring monthly deadlines, and communicate professionally with both clients and members of our accounting team.

The ideal candidate takes ownership of their assigned clients, identifies discrepancies before they become problems, maintains clean and accurate books, and understands how proper bookkeeping impacts financial reporting and tax preparation.

Primary Responsibilities

Monthly Bookkeeping

  • Manage bookkeeping for an assigned portfolio of business clients.
  • Record and categorize bank and credit card transactions.
  • Reconcile all bank, credit card, loan, and other balance sheet accounts each month.
  • Review transactions for proper account classification.
  • Record journal entries and recurring transactions as necessary.
  • Maintain accurate accounts receivable and accounts payable records.
  • Review outstanding checks, deposits, and uncleared transactions.
  • Reconcile payroll records to the general ledger.
  • Record loan payments and properly separate principal and interest.
  • Maintain fixed asset and other supporting schedules as required.
  • Review balance sheet accounts for accuracy and unusual balances.
  • Identify duplicate, missing, or incorrectly recorded transactions.
  • Maintain clean and accurate general ledgers throughout the year.

Financial Reporting

  • Prepare accurate monthly financial statements, including:
    • Profit & Loss Statements
    • Balance Sheets
    • General Ledgers
    • Accounts Receivable reports
    • Accounts Payable reports
    • Other management reports as requested
  • Review financial statements for unusual fluctuations or inconsistencies before completion.
  • Investigate and resolve bookkeeping discrepancies.
  • Ensure client books are maintained in a tax-return-ready condition.
  • Assist accounting staff with questions regarding client financial statements and general ledger activity.

Client Management

  • Serve as a primary bookkeeping contact for assigned clients.
  • Request bank statements, loan statements, payroll reports, invoices, receipts, and other documentation as needed.
  • Follow up with clients regarding missing information or unidentified transactions.
  • Communicate bookkeeping questions clearly and professionally.
  • Track outstanding client requests to ensure work is completed on schedule.
  • Develop an understanding of each client's business operations and recurring transactions.
  • Maintain organized documentation and electronic workpapers for each client.

Accounts Payable & Accounts Receivable

Depending on the client engagement, responsibilities may include:

  • Entering vendor bills.
  • Coding bills to appropriate general ledger accounts.
  • Preparing bills for client approval.
  • Assisting with vendor payment processing.
  • Creating customer invoices.
  • Recording customer payments.
  • Monitoring outstanding accounts receivable.
  • Reconciling accounts payable and accounts receivable balances to the general ledger.

Payroll & Compliance Support

Depending on client needs, the position may also assist with:

  • Reviewing and recording payroll.
  • Reconciling payroll reports to bookkeeping records.
  • Maintaining payroll liability accounts.
  • Coordinating with payroll providers such as Gusto, ADP, Paychex, or QuickBooks Payroll.
  • Assisting with sales tax reporting and reconciliation.
  • Preparing bookkeeping information required for 1099 reporting.
  • Providing reports and supporting information needed for tax return preparation.

Client Portfolio Management

Because this position supports multiple businesses, the successful candidate must be able to:

  • Manage multiple client deadlines simultaneously.
  • Maintain a monthly bookkeeping calendar and workflow.
  • Prioritize work based on due dates and client needs.
  • Move efficiently between multiple QuickBooks Online company files.
  • Keep clear notes regarding outstanding items for each client.
  • Follow up consistently on missing client information.
  • Complete recurring monthly work without requiring constant reminders.
  • Communicate immediately when a deadline or client issue may affect completion of an engagement.

Required Qualifications

  • Previous bookkeeping or accounting experience.
  • Strong understanding of basic accounting principles, including debits and credits.
  • Experience preparing bank and credit card reconciliations.
  • Experience reviewing Profit & Loss and Balance Sheet reports.
  • Strong knowledge of QuickBooks Online.
  • Ability to identify and correct bookkeeping errors.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple companies and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Comfortable communicating directly with business owners and clients.
  • Proficiency with Microsoft Excel and/or Google Sheets.
  • Ability to handle confidential financial information professionally.

Preferred Qualifications

  • 2+ years of bookkeeping or accounting experience.
  • Previous experience working for a CPA firm, accounting firm, outsourced bookkeeping company, or professional services firm.
  • QuickBooks Online ProAdvisor certification.
  • Experience managing bookkeeping for multiple clients simultaneously.
  • Experience with payroll platforms such as Gusto, ADP, or Paychex.
  • Experience with accounts payable and bill-pay systems.
  • Experience with sales tax and 1099 reporting.
  • Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field.

Characteristics of a Successful Candidate

The ideal candidate will be:

Detail-Oriented
You notice when an account does not reconcile, a balance looks unusual, or something has been categorized incorrectly.

Accountable
You take responsibility for completing your assigned client work accurately and on time.

Organized
You can manage multiple clients, recurring deadlines, outstanding requests, and supporting documentation without losing track of details.

Proactive
You identify issues, ask questions, and follow up on missing information rather than waiting for someone else to notice a problem.

Client-Focused
You communicate professionally and understand that clients rely on us to keep their financial information accurate and current.

Deadline-Driven
You understand that monthly bookkeeping, payroll, sales tax, tax preparation, and other accounting work have deadlines that must be met.

Problem-Solver
When something does not reconcile or make sense, you investigate the issue and work toward a solution.

Team-Oriented
You communicate with accountants, tax professionals, and other team members to ensure client records are complete and accurate.

Why This Position Matters

Our bookkeeping team is responsible for creating the financial foundation used by our clients, accountants, and tax professionals. Accurate bookkeeping allows clients to understand their businesses, make better financial decisions, manage cash flow, and complete tax filings efficiently.

The person in this position should take pride in maintaining clean, accurate, timely, and dependable financial records for every client assigned to them.

Company Description

We are a close knit group of people that work hard for out clients without overworking ourselves along the way.
