Position Overview
The Customer Specialist plays a key role in daily operations and client experience. This position requires strong attention to detail, the ability to manage multiple priorities, and a willingness to learn and adapt as systems evolve.
Principal Duties and Responsibilities
Front Desk & Client Support
  • Serve as the first point of contact-greet clients, families, and visitors with warmth and professionalism
  • Answer phones, manage inquiries, and route communications appropriately
  • Support a welcoming and calm environment for clients and staff

Administrative & Operational Support
  • Assist with scheduling, confirmations, and calendar coordination
  • Maintain accurate records, files, and data entry across systems
  • Support billing, payments, and basic financial tracking
  • Help maintain organized office systems and workflows

Technology & Systems Support
  • Utilize and navigate multiple systems (scheduling, CRM, billing, etc.)
  • Support team members with basic IT troubleshooting and systems equipment use
  • Demonstrate openness to learning new tools and improving processes

Office Coordination
  • Manage office supplies and vendor coordination
  • Maintain shared spaces and overall office organization
  • Support internal communication and team coordination
