Reports to: Director of Data Processing/Office Manager
Status: Part-Time, Hourly, Non-Exempt

Hourly Rate: $19.00 - $21.00 per hour based on experience

Job Summary

The Retail Billing Clerk - 1 accurately processes customer billings, payments, and related account information for assigned commercial, residential, liquid, and HVAC accounts. This position ensures billing transactions comply with contracts, pricing agreements, and company procedures while maintaining accurate records and providing timely service to internal and external customers.

Essential Duties and Responsibilities

Billing and Data Entry

  • Prepare, verify, process, and distribute daily, weekly, and monthly billings accurately and on time.
  • Maintain a high degree of data-entry accuracy when entering billing and customer information.
  • Ensure transactions and invoices comply with contracts, pricing agreements, and company procedures.
  • Compile and reconcile daily billing totals and conduct periodic audits to identify and correct discrepancies.
  • Maintain complete billing records, logs, and supporting documentation for reporting and audit purposes.

Payment Processing

  • Process and apply payments accurately according to remittance instructions.
  • Assist with electronic payment setup, configuration, and account maintenance.

Customer and Department Support

  • Research and respond to billing inquiries from customers, account managers, and internal departments.
  • Process billing adjustments and escalate unusual issues or requests to management.
  • Support annual customer pricing agreements, gift card and rewards programs, and other assigned billing activities.
  • Process incoming and outgoing mail and operate general office equipment.
  • Provide occasional receptionist coverage, including greeting visitors, answering phones, and receiving shipments.

General Responsibilities

  • Meet departmental deadlines, productivity standards, and attendance expectations.
  • Participate in required training and development.
  • Follow company policies and procedures.
  • Perform additional duties and special projects as assigned.
