Job description

Signalscape provides advanced engineering services and specialized wireless systems that support defense, intelligence, and law-enforcement initiatives. For over 25 years, we have built a reputation for quality, professionalism, and commitment to mission-critical work. Our Cary office is a collaborative, respectful environment that values dependability and a team-oriented environment.  

We are looking for a reliable, organized, and welcoming front desk Administrative Specialist to serve as the first point of contact for our office. This part-time position supports daily operations by managing visitor access, assisting with meetings, coordinating travel details, handling shipping and receiving, supporting the accounting team, and performing light data entry to support general office functions. 

This role is ideal for individuals seeking a strong work-life balance, predictable daytime hours, and a supportive environment. It's also a great fit for those reentering the workforce who want to contribute meaningfully without sacrificing personal or family time. We understand that life requires flexibility! 

This is an on-site role in our Cary, NC office. The weekly schedule is from 8 am to 2 pm, M-F.  

Key Responsibilities:
  • Welcome visitors and ensure proper sign-in and access procedures.
  • Provide clerical support to the operations team.
  • Process Accounts Payable by coding vendor bills to the correct accounts and entering data into the accounting system.
  • Communicate with vendors as needed o confirm vendor information, payment status, or to respond to other vendor inquiries.
  • Process outgoing shipments.
  • Assist with general office tasks such as data entry, filing, updating logs, and tracking operational items.
  • Answer and route calls from the main company line.
  • Maintain neat, organized, and equipped common and meeting areas.
  • Coordinate meeting logistics, including hotels and picking up food and refreshments.
  • Purchase office and kitchen supplies, keeping office and kitchen neat and stocked.
  • Make travel arrangements, including supporting itinerary organization and help confirm details for smooth travel.
  • Manage incoming mail, packages, and deliveries.

  • Strong attention to detail and comfort with entering and tracking information.

  • Proficiency with Microsoft Office (Outlook, Word, Excel).
