Position Overview

We are seeking a compassionate, organized, and dependable Front Office Staff Member to support the daily operations of our counseling center. This role is often the first point of contact for clients and plays a critical role in creating a welcoming, respectful, and professional environment. The ideal candidate values confidentiality, has strong communication skills, and is comfortable working in a mental health setting.

Key Responsibilities

  • Greet clients warmly and provide a supportive, professional first impression

  • Answer phones, respond to inquiries, and manage voicemails in a timely manner

  • Schedule, reschedule, and confirm client appointments

  • Manage client check-in/check-out and collect payments as needed

  • Verify insurance information and assist with basic billing or administrative tasks

  • Maintain accurate client records in the electronic health record system (e.g., SimplePractice)

  • Support clinicians with administrative needs as appropriate

  • Maintain front office organization, cleanliness, and office supplies

  • Uphold HIPAA compliance and strict confidentiality at all times

  • Assist with general office operations and special projects as needed

Qualifications

  • High school diploma or equivalent required; college coursework preferred

  • Prior front office, medical office, or mental health office experience preferred

  • Strong organizational and multitasking skills
