Office of Philanthropic Giving - Student Assistant

Job Summary:

The Student Assistant for the Office of Annual Giving provides administrative, marketing, and fundraising support to help advance the university's philanthropic mission. This position offers students valuable experience in nonprofit fundraising, donor relations, event support, marketing and office administration. The ideal candidate is organized, detail-oriented, professional, and comfortable communicating with donors, faculty, staff, and campus partners.

Responsibilities:

Under direct supervision, duties include but not limited to:

Administrative Support:
- Monitor and respond to general office email inquiries and phone calls.
- Receive, sort, and distribute incoming and outgoing mail.
- Order office supplies and maintain inventory.
- Prepare and submit travel requests and related documentation.
- Organize and maintain electronic files and shared drive folders.
- Perform general office administrative tasks and provide support to the Annual Giving team.

Donor Database Management:
- Assist with maintaining donor records in the Ellucian Advance database.
- Upload and process contact reports, solicitation lists, and donor record updates.
- Support data entry, quality assurance, and record maintenance.
- Generate and organize reports assigned while maintaining confidentiality of donor information.

Fundraising and Donor Engagement:
- Assist with university fundraising campaigns and annual giving initiatives.
- Make donor stewardship, thank-you, and solicitation phone calls using provided scripts.
- Support donor outreach and engagement activities.
- Assist with the preparation and distribution of fundraising materials.

Events and Student Giving:
- Assist with planning, setup, execution, and breakdown of fundraising and donor events.
- Represent the Office of Annual Giving at campus tabling events.
- Collect and accurately reconcile cash and donations received during tabling activities.
- Record donations in Excel and the donor database, assign appropriate appeal codes, and coordinate delivery of funds and documentation to Advancement Services.
- Promote student giving initiatives and engage with students during outreach events.

Marketing and Communications Support:
- Design and develop digital and print marketing materials using Canva and other approved design platforms.
- Create flyers, social media graphics, event signage, presentations, and promotional materials for fundraising campaigns and donor engagement initiatives.
- Assist with drafting and formatting fundraising emails, newsletters, and donor communications.
- Ensure all marketing materials and communications adhere to CSUSB and University Advancement branding, style, and accessibility guidelines.
- Assist with photography, content collection, and promotional efforts during campus events and fundraising activities.
- Organize and maintain marketing assets, templates, and digital files for future campaigns.
- Maintain and manage the Office of Annual Giving's social media accounts by creating, scheduling, and publishing engaging content that promotes fundraising campaigns, events, d donor impact, and student giving initiatives while following university branding guidelines.

Other duties as assigned. This position also provides periodic support to Office of Donor Relations, and the Corporate and Foundation Relations team, as well as occasional assistance with division-wide projects and events for University Advancement.

Minimum Qualifications:

  • Ability to learn and perform assigned work; follow oral instructions; work cooperatively with faculty, staff, and other students; communicate effectively with all levels; and read and write English at a level appropriate to the position.
  • Special Qualification: Admission or registration as a CSU student.

Required Qualifications:

  • Maintain a 2.0 G.P.A. or greater per semester and cumulative.
  • Students must be enrolled in at least halftime units at CSUSB (6 units undergraduate; 3 units graduate)
  • International students must have full-time enrollment at CSUSB. (12 units undergraduate; 6 units graduate)
  • Eligible to work in the United States
  • Payroll Requirement: Social Security Card

Preferred Qualifications:

Current enrollment as a CSUSB student in good academic standing.
- Organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Basic proficiency in Microsoft Office, including Excel, Word, and Outlook.
- Ability to work independently and collaboratively in a team environment.
- Willingness to learn fundraising principles and donor database system

Compensation and Benefits:

Student Employment Anticipated Hiring Range: $16.90 per hour.

The compensation offered will consider internal equity and experience among other factors.

Position Information:

Work status: Part-Time, Temporary, Seasonal

Academic year available hours: Monday through Friday (8:00 am - 5:00 pm).

Summer available hours: Monday through Thursday (7:00 am - 5:30 pm).

This is an 'On-Campus Only' position. Student Employees are not eligible to telecommute at any time.

Conditions of Employment

Background Check
Satisfactory completion of a background check (including a criminal records check) may be required for student employment purposes. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check when required may affect the continued employment of a current CSU employee who was conditionally offered the position.

Driver's License Check
Possession of a valid Driver's License may be required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.
