POSITION: Construction Coordinator

FULLTIME/PARTTIME: ASAP - 10/20/2026
LOCATION: Warrenville, IL
SCHEDULE: M-F
PAY RANGE: $18.40
(Exact compensation may vary based on skills, experience, and location. Base pay information is based on market location.)

JOB DESCRIPTION:

Provide support within a functional area, assisting Disbursement Officers to ensure timely and effective completion of disbursing projects.
Prepare Requests for Funds.
Data entry of pending payments for checks and wires to be issued.
Monitor Trust account for receipt of funds. Post incoming money to project files.
Print checks and send wires, when appropriate, using appropriate internal procedures.
Send notices to payees when funds are available.
Assist with receipt of lien waivers and distribution of checks (via mail and walk in clients).
Respond to customer inquiries and follow up on phone calls and e-mails.
File management (i.e. scanning construction disbursing documentation and other information into shared hard drives). Invoice for various services.
Work with disbursing team to ensure all disbursing procedures are followed and tracked, as applicable.
Review of monthly reports including trial balances and outstanding check logs.
Follow functional area's processes and procedures in daily activities, troubleshoot as needed and recommend suggestions for continuous improvements to overall operations.
Actively contribute to the results of the team and work toward achieving goals and objectives.
Complexity & Impact Uses established procedures to perform assigned tasks.
Work is routine and instructions are usually detailed Supervision Given/Level of Instruction given
No responsibility for the supervision of others
Works under close supervision applying well established techniques, procedures or specific standards
Work is reviewed for soundness of judgment and overall accuracy
Knowledge and Skills/Technology Used

Good written and verbal communication skills, particularly on the phone

Ability to multi-task and meet assigned deadlines
Hands-on experience with lien waivers a plus
Proficient in Excel, Office, and Outlook
May be familiar with commonly used concepts, practices and procedures within a particular field
Establishes effective working relationships at the work group level
Valid notary commission a plus (could be asked to perform notary duties)
Typical Education High School diploma or equivalent
Typical Range of Experience 2+ years of experience as a Construction Disbursing Assistant or Escrow Assistant or a minimum of 3 years in a related real estate, title, or construction industry position
Prior banking experience is a plus
