Job description

Overall Scope of Responsibilities: Under close supervision, the TAY Programs Assistant II supports program managers and counseling staff in ensuring the provision of quality and cost-effective services. Responsibilities include data entry, administrative, and clerical duties with a commitment to client dignity and respect. This position is scheduled to work 32 hours per week (Monday through Thursday).

Administrative Duties:

  1. Office Systems
  2. Data Input/Documentation
  3. Customer Service
  4. General Administration

Additional Duties:

  1. Create client files and program binders
  2. Purchase, log, and dispense bus passes
  3. Data entry of billing and program statistics
  4. Petty cash, purchase orders, and deposit reconciliation
  5. Fax, scan, and copy documents
  6. Typing documents, spreadsheets, meeting notes, Power Point presentations
  7. Assist with event planning and outreach
  8. Monitor and order office supply stock
  9. Order, distribute, and track gift cards and receipts
  10. Perform work-related errands
  11. Distribute and collect data for CalYouth survey
  12. Maintain front desk entry procedures for the resource center
  13. Provide reception to clients, community partners, and donors

Physical Requirements:

  1. Stooping, kneeling, crouching, and/or crawling
  2. Ability to lift or exert a force of up to 20 pounds
  3. Repetitive use of computer keyboard, mouse, and extended time viewing a monitor

Driving Requirements: Occasionally driving agency vehicle without clients

Bilingual Stipend: Basic Verbal Proficiency in English/Spanish preferred
