Job description


Part-Time Athletic and Activities Director

Daystar Academy is seeking a highly organized, communicative, and energetic Athletic & Activities Director to oversee our growing sports programs and after-school auxiliary activities. This role is the heartbeat of our extracurricular community, ensuring that every game, practice, and club runs smoothly. You will be the primary link between the administration, coaches, third-party partners, and our families.

Key Responsibilities

1. Personnel and Program Management
Recruitment: Identify, interview, and hire coaches (paid staff and parent volunteers) for all Jr Falcons, 3/4th development, Middle School (JV and V) and High School teams.
Onboarding: Ensure all coaches complete required background checks and HR paperwork before the season begins.
Program Expansion: Facilitate dialogue with students and parents to gauge interest in new sports or programs while working closely to the Director of Student Life.

2. Scheduling and Logistics

Game and Practice: Schedule all 3/4th, MS, & HS competitions and coordinate with coaches to establish practice times and locations for each athletic season
Facility Management: Scout and secure off-site facilities for games and practices when on-campus space is unavailable or insufficient.
Activity Coordination: Solicit and manage partnerships for non-athletic after-school activities, creating comprehensive schedules for all vendors and diverse opportunities for students

3. Digital Systems and Administration

Registration: Build and manage registration portals for all sports and activities using Amilia.
Organization: Maintain accurate rosters in Google Docs and build dedicated Google Calendars for each team and club and publicize calendars.
Communications with Community: Help facilitate parent chat groups (e.g., email threads, WhatsApp or GroupMe) for real-time team updates and logistical support.

4. Communication and Marketing

Family Outreach: Send weekly emails to families with schedule reminders for the upcoming week.
Weekly Reporting: Updating staff through completion of weekly newsletter
Change Management: Maintain live calendars and immediately communicate any schedule shifts or cancellations to coaches and families.

5. Financial and Strategic Oversight

Budgeting: Manage the Board-approved Athletics budget, ensuring all programs operate within their means.
Accounting: Input all expenses and receipts; track and ensure all participant fees are paid in full.
Feedback Loops: Deploy end-of-season surveys to parents and athletes; analyze data to create actionable improvement plans.

6. Culture and Events

Celebrations: Plan and execute end-of-season (fall, winter, and spring) pep rallies, banquets, and after school productions.
Recognition: Source and purchase gifts for volunteer coaches to be presented at seasonal banquets.
Collaboration: Attend weekly sync meetings with the Director of Student Life and Athletics.
Qualifications:
  • Bachelor's degree required; degree in Education, Sports Management, Athletic Administration, Physical Education, or a related field preferred. Master's degree preferred.
  • Previous experience in athletic administration, coaching, education, or school leadership required.
  • Demonstrated ability to recruit, supervise, develop, and evaluate coaches and athletic staff.
  • Strong organizational skills with the ability to manage schedules, facilities, transportation, budgets, equipment, and event logistics.
  • Excellent verbal and written communication skills and the ability to effectively engage students, parents, coaches, officials, and community partners.
  • Knowledge of athletic policies, league regulations, student-athlete safety practices, and eligibility requirements (or demonstrated willingness to learn).
  • Ability to cultivate a positive athletic culture that emphasizes character development, sportsmanship, leadership, teamwork, and spiritual growth.
  • Proficient with technology platforms used for scheduling, communication, registration, budgeting, and recordkeeping.
  • Ability to work evenings, weekends, and summer programs as required by the athletic calendar.
  • Current CPR, First Aid, and AED certification or willingness to obtain certification.
  • Demonstrates a personal commitment to Christ and actively supports the mission, vision, and Statement of Faith of Daystar Academy.
  • Models Christian character, integrity, servant leadership, and professionalism in relationships with students, families, coaches, and staff.
