Job Title: House Manager & Family Assistant

Location: Whitby, Ontario L1R 2P3

Employment Type: Part-time, 15-20 hours per week

Schedule: Monday through Friday; Flexible daytime hours between 9:00am-4:00pm. Occasional evening availability is appreciated.

Compensation: $30-$35 CAD per hour

About Our Family

We're a busy, close-knit family of four based in Whitby, Ontario. Both parents work locally running a family business, and while the commute is short, our days are full. We're in and out of the office, in the community, and doing our best to give our two young children the focused, present evenings they deserve.

Our household runs on routines. Mornings are a hustle of breakfast, drop-offs, and getting everyone out the door on time. Evenings are for dinner, kids' activities like soccer and swimming lessons, and, when we're lucky, a quiet moment on the couch. What we're missing is someone to bridge the gap between the morning chaos and the evening calm to set us up for success so we're not scrambling when we walk in the door.

We already have a cleaner who comes weekly for the essentials, and our kids are in school and daycare full time. This role is less about childcare and more about keeping the home humming: laundry that's actually folded and put away, dinner components prepped and ready to assemble, surfaces reset, and the mental load lifted a little. We also have an 11-year-old Bernedoodle who is friendly, well-loved, and part of the family. She has a regular walker during the week, but we'd love someone who's comfortable with dogs and happy to help when needed.

We're not looking to add another person to manage. We want a trusted, capable presence in our home who notices what needs to be done and does it someone who takes pride in their work and genuinely enjoys bringing order and ease to a busy household.

Who You Are / What We're Looking For

You're the kind of person who doesn't need a to-do list handed to you every morning. You walk in, assess what's needed, and get to work. You're curious, motivated, and take pride in doing things well whether that's folding laundry, prepping dinner components, or organizing a toy room that's been meaning to get sorted for months. You're comfortable with dogs, at ease around children if they happen to be home, and you operate with quiet professionalism. Prior formal house manager experience isn't required what matters most to us is good judgment, initiative, and the kind of dependability that lets a family breathe a little easier. You're a problem-solver who brings your own ideas to the table and follows through without being reminded.

Key Responsibilities

Household Organization & Maintenance

  • Daily resets: tidying dishes, wiping surfaces, and vacuuming high-traffic areas so the home is ready for the evening
  • Maintain and improve household organization systems
  • Prep the home before the weekly cleaner arrives
  • Seasonal swaps for clothing, bedding, and dcor
  • Coordinate donation drop-offs and manage household clutter
  • Handle packages: receive, open, put away, and break down boxes for recycling
  • Manage returns and occasional household errands
  • Change batteries, light bulbs, and smoke detectors as needed
  • Coordinate with and be available for contractor visits and appliance service appointments (e.g., ensure laundry area is cleared before a service call)
  • Seasonal outdoor upkeep: tidying patio, refreshing cushions, clearing leaves

Inventory & Errands

  • Restock pantry, fridge, and household supplies
  • Maintain a running household supply list
  • Manage household orders and subscriptions (Costco, Amazon, etc.) and handle deliveries

Meal Support

  • Prep dinner components 2-3 times per week (chopping, shredding, marinating not full cooking; the family assembles at dinnertime)
  • Prepare healthy ready-to-go snacks such as muffins or protein balls
  • Maintain a clean and organized kitchen

Laundry & Linens

  • Full laundry management: washing, drying, folding, and putting away clothing for the whole family
  • Weekly linen rotation
  • Keep laundry area tidy and well stocked with supplies

Pet Care

  • Provide occasional backup support for the family dog when the regular walker is unavailable
  • Coordinate grooming drop-off and pickup appointments
  • Restock pet food and supplies as needed

Deep Cleaning & Special Projects

  • Occasional deep cleans: fridge, oven, baseboards, garage, mudroom, and entryway
  • Organizational projects such as kids' toy areas and seasonal clothing rotations

Family Support

  • Light backup childcare for occasional date nights, PA days, or coverage during parent meetings
  • Prep kids' backpacks, clothing, and snacks as needed
  • Support with kid-related errands

Administrative & Personal Assistant Support

  • Access to and management of the family calendar
  • Coordination of appointments and events (grooming, household maintenance, activities)
  • Receipt and errand expense tracking
