JOB DESCRIPTION: Inventory Control & Purchasing Assistant (Part-time)
The Part-Time Inventory Control and Purchasing Assistant supports aircraft operations, purchasing, inventory control, and logistics administration by maintaining accurate records, tracking purchase orders and parts, researching discrepancies, coordinating delivery status updates, and processing purchasing documentation. This role works closely with buyers, the Program Manager, Logistics Coordinator, Logistics Manager, vendors, accounting, and other internal stakeholders to ensure aircraft parts, purchase orders, inventory records, and related documentation remain accurate, traceable, and up to date.
Duties and Responsibilities:
  • Maintain purchase order worksheets, buyer worksheets, inventory records, tracking files, and related purchasing documentation to ensure accurate and up-to-date records.
  • Research, verify, and update DUIs, DUOs, part numbers, stock numbers, line-item status, delivery dates, and aircraft parts information using NASA Aircraft Management Information System (NAMIS), FedLog, OneDrive, and related systems.
  • Process receivers, purchase orders, bills, invoices, document scans, shared-file uploads, and accounting submissions in accordance with established procedures.
  • Run NAMIS reports and inquiries to support purchasing, inventory control, maintenance requisitions, due-out tracking, and aircraft awaiting parts records.
  • Coordinate with buyers, vendors, accounting, logistics, program management, and other internal teams to resolve routine purchasing, inventory, delivery, and documentation issues.
  • Support inventory control activities including stocking, issuing, inspecting, transferring, pulling, tracking, auditing, reconciling, and disposing of aircraft parts and related property.
  • Maintain accountability, traceability, and proper handling of government-furnished property, mission hardware, serialized items, repaired or calibrated parts, and associated records.
  • Review documentation for accuracy and completeness, support data entry and repository uploads, follow quality and safety procedures, reformat legacy purchase orders as assigned, and perform other related duties as needed.

REQUIREMENTS: Inventory Control & Purchasing Assistant (Part-time)
Education: High School Diploma or equivalent (Associates Degree preferred)
Year(s) of Experience: Minimum of 2 years of inventory control, purchasing, logistics, records management, document control, or related administrative experience preferred.
Minimum Citizenship: U.S. Citizen
Required Skills and Traits:
  • Ability to obtain and maintain a U.S. Government Public Trust clearance.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Experience with electronic inventory, work order, purchasing, document management, or collaboration systems such as OneDrive or SharePoint.
  • Strong organizational skills with the ability to maintain accurate records and follow established processes.
  • Excellent attention to detail and ability to identify discrepancies in purchasing, inventory, and system records.
  • Effective written and verbal communication skills, including the ability to communicate professionally with vendors, buyers, accounting, logistics personnel, and management.
  • Ability to manage multiple priorities, follow up on pending items, and work both independently and collaboratively in a fast-paced environment.
  • Proactive, adaptable work style with initiative and willingness to learn new systems, procedures, and operational requirements.
  • Ability to lift up to 35 pounds and climb ladders as required.

Preferred Qualifications:
  • NAMIS experience preferred, or ability to learn NAMIS and related reporting functions.
  • FedLog experience preferred.
  • Previous experience in aircraft operations, aircraft parts, maintenance requisitions, supply chain, warehouse administration, or government supply systems preferred.
  • Familiarity with NASA or government property management processes preferred.
  • Experience working in a regulated, quality-controlled, or configuration-managed environment preferred.

Work Environment and Physical Requirements:
  • Work is performed in an office and warehouse logistics support environment with routine computer, records, purchasing, and inventory tracking responsibilities.
  • Position may require movement within inventory, parts, warehouse, or storage areas to locate, inspect, transfer, or pull parts.
  • Frequent standing, walking, lifting up to 35 pounds, and ladder use may be required.
  • Must be able to sit, stand, walk, use a computer, handle documents and parts, and communicate effectively during the workday.
  • This position supports multiple operational functions and requires flexibility to shift priorities based on mission needs.
