Accounting and Office Administrative Assistant


We are seeking a dedicated and detail-oriented Accounting and Office Administrative Assistant to join our team in a permanent part-time capacity. This role offers a consistent schedule from Monday through Friday, 8:30 am to 2:30 pm, with a half-hour unpaid lunch break. The ideal candidate will be organized, proactive, and capable of managing multiple responsibilities to support our finance and administrative functions.


Key Responsibilities


Processing Accounts Payable invoices by matching invoices with purchase orders and packing slips to ensure accuracy.

Posting vendor invoices to the ABAS accounting system.

Creating daily deposits for bank reconciliation.

Acting as a backup for Accounts Receivable invoices and assisting with collection calls.

Supporting the preparation and loading of check runs.

Organizing, maintaining, and updating physical and electronic files and records, including scanning and filing documents.

Serving as the primary point of contact for incoming communications, answering and directing telephone calls, taking detailed messages, responding to inquiries, and greeting visitors as needed.


Skills and Qualifications


Previous experience in accounts payable, accounts receivable, or office administration preferred.

Proficiency with accounting software, particularly ABAS, is a plus.

Strong organizational skills and attention to detail.

Excellent communication and interpersonal skills.

Ability to handle multiple tasks efficiently and prioritize effectively.

Professional demeanor with a customer service-oriented approach.

Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Reliable, punctual, and able to work independently within a team environment.
