Job description

Job Summary

ICA Language Services is looking for part-time (4 hours per day) administrative and facility support to ensure efficient day-to-day office and classroom operations at our offices in Arlington. VA. This role is responsible for maintaining supply inventory, coordinating service and maintenance requests, supporting front desk functions, and assisting with academic and operational processes. The ideal candidate is highly organized, customer-focused, and adaptable.

Essential Duties & Responsibilities

  • Answer and route phone calls from the main reception line
  • Greet and direct visitors to appropriate personnel
  • Maintain inventory of office and kitchen supplies
  • Create and track service requests and corresponding records
  • Bind and laminate course materials as needed
  • Receive, scan, and distribute mail; sort and organize packages
  • Troubleshoot basic IT issues and escalate as needed
  • Monitor classroom utilization and report maintenance needs
  • Maintain records of in-person student classroom assignments and contacts
  • Support staff and student attendance reporting

Minimum Skills/Qualifications

  • High school diploma or equivalent
  • 1+ year of experience in customer service and/or administrative support
  • Familiar with Microsoft 365 (Outlook, Excel, Word, Teams)
  • Excellent verbal and written communication skills
  • Strong organizational and problem-solving skills
  • Ability to lift up to 30 lbs.
  • Ability to prioritize tasks and respond effectively
  • Positive and enthusiastic attitude

Preferred Qualifications

  • Associate or bachelor's degree
