Compensation: $65,000 / year
Description
We are currently seeking a motivated and experienced Project Coordinator to join our Dallas, TX office, supporting our Mission Critical sector. This role works closely with Principals and Project Managers to keep projects organized, on track, and running efficiently.
The Project Coordinator will play a key role in managing project documentation, coordinating communication across teams, and supporting day-to-day operations throughout all project phases. This position requires strong attention to detail, the ability to prioritize in a fast-paced environment, and a proactive approach to supporting complex, high-impact projects.
KEY RESPONSIBILITIES
  • Provide administrative support for all construction documentation, including logging, tracking, and distributing shop drawings, submittals, and RFIs to ensure timely responses and contract compliance.
  • Provide document control support for drawing issuances at all phases (30%, 60%, 90%, 100%) including addenda, ensuring proper organization, version control, and distribution. Upload and maintain project documentation on platforms such as AWS and Procore, ensuring accuracy, accessibility, and compliance.
  • Coordinate project resources, schedules, calendars, and meetings, including preparation of design meeting minutes, field reports, and travel arrangements for project teams.
  • Assist with AIA contracts and consultant agreements
  • Coordinate with internal teams across multiple offices to ensure alignment, communication, and timely delivery of project information.
  • Prepare, assemble, and manage permit documents, drawing packages, affidavits, and closeout procedures to streamline project deliverables.
  • Perform clerical duties such as drafting documents, generating reports, data entry, and maintaining CRM systems, ensuring accurate and updated records.
  • Stamp, seal documents, and assemble affidavits for permit packages.
  • Respond to emails and calls professionally, providing exceptional communication and customer service to project stakeholders.

SKILLS, KNOWLEDGE AND EXPERTISE
  • Preferred minimum 5+ years of experience.
  • Bachelor's Degree (Preferred).
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management software such as Unanet (preferred).
  • Experience with document control systems such as Procore, AWS, or similar platforms (preferred).
  • Strong organizational and communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Ability to work both independently and collaboratively.
  • Notary Public (Plus).
