Description
The Overnight Housing Operations Coordinator serves as a full-time professional staff member responsible for overseeing overnight residential operations, facility safety, and incident response within Housing & Residence Life. This position ensures the continuity of operations during overnight hours through proactive monitoring, policy enforcement, communication management, and crisis response. The coordinator plays a critical role in maintaining a safe, secure, and well-managed residential environment while serving as a central communication point between student staff, professional staff, and campus partners. This role requires sound judgment, strong administrative skills, and the ability to respond effectively to complex and sensitive situations.
Examples of Duties
Residential Operations & Customer Service
• Serve as the primary overnight point of contact for residential operations.
• Provide high-level customer service to residents, guests, and campus stakeholders.
• Coordinate communication with Resident Assistants (RAs), Community Directors (CDs), on-call professional staff, Student Affairs personnel, and executive Housing & Residence Life staff.
• Conduct structured shift change briefings to ensure continuity of operations.
• Submit hourly operational updates to the Associate Director of Housing Operations.
• Report attendance concerns, including tardiness or early departures, in a timely and professional manner.
Facility Security & Key Control
• Maintain full accountability of the Master Key system during assigned shifts.
• Verify, document, and communicate Master Key status at the beginning and throughout each shift.
• Ensure proper logging and secure storage of all keys and access devices.
• Immediately report discrepancies, missing keys, or security concerns to supervisory staff.
Incident Response & Reporting
• Respond to, assess, and document all incidents occurring within residential facilities during overnight hours.
• Complete accurate, timely, and detailed incident reports for policy violations, emergencies, and unusual circumstances.
• Ensure immediate escalation of serious incidents per established protocols.
Mandatory Escalation Situations include (but are not limited to):
• Life-threatening emergencies or death
• Suicide ideation, attempts, or threats
• Physical assaults or altercations
• Sexual misconduct
• Robbery, burglary, or significant theft
• Fires or major facility damage
• Serious injury or illness
• Bomb threats
• Weapons-related concerns
• Illegal drug activity
• Mental health crises
• Hazing, threats, or dangerous behavior
• Coordinate response with campus police, emergency personnel, and on-call professional staff as required.
Facility Monitoring & Rounds
• Conduct routine and structured facility rounds throughout assigned residential areas.
• Monitor residential floors, common areas, exterior doors, and building access points (minimum hourly exterior checks).
• Identify and address safety hazards, unauthorized individuals, maintenance concerns, and policy violations.
• Document findings and ensure appropriate follow-up actions.
• Enforce quiet hours and community standards as needed.
Administrative Documentation & Compliance
• Maintain accurate operational logs, incident reports, round documentation, and lockout records.
• Ensure all documentation meets departmental and institutional standards.
• Support compliance with university policies, Clery Act reporting requirements, FERPA regulations, and Housing & Residence Life procedures.
Lockout & Access Management
• Facilitate resident lockouts in accordance with established procedures.
• Verify resident identity and room assignment prior to granting access.
• Document all lockout activity accurately.
• Coordinate emergency lock changes and key replacement requests with maintenance and on-call personnel.
Maintenance Coordination
• Report all maintenance concerns through designated systems.
• Escalate urgent issues (e.g., flooding, electrical hazards, safety risks) to appropriate on-call personnel.
• Distinguish between routine and emergency maintenance needs using professional judgment.
Emergency Response & Crisis Management
• Respond to fire alarms, evacuations, and emergency situations.
• Coordinate communication and response with emergency personnel.
• Assist in implementing emergency protocols, including severe weather or utility outages.
• Support students in distress and connect them with appropriate campus resources.
Shift Management & Accountability
• Work assigned overnight schedule (11:30 PM - 8:00 AM, including meal break).
• Accurately clock in and out using university timekeeping systems (including biometric verification).
• Maintain punctuality and readiness for all assigned shifts.
• Communicate absences in accordance with departmental policy and submit leave requests at least one month in advance.
Front Desk & Operational Support
• Answer phones and respond to inquiries.
• Monitor Housing Operations communications and email systems.
• . Assist with guest verification and access control.
• Maintain organization and professionalism of front desk operations.
• Support package and mail operations if applicable.
Enhanced Operational Responsibilities
• Conduct facility safety audits (lighting, door security, environmental hazards).
• Monitor resident behavior trends and document recurring concerns.
• Prepare overnight summary reports for professional staff review.
• Maintain awareness of inventory, keys, and operational supplies.
• Support emergency preparedness and readiness initiatives.
• Prepare detailed shift handoff reports for incoming staff.
Supervisory Responsibilities
• Provides operational direction to Resident Assistants and student staff during overnight shifts.
• Monitors staff performance and compliance with departmental procedures.
• Does not have hiring, disciplinary, or termination authority unless formally delegated.
Other Duties
• Performs other duties as assigned to support the mission and operational needs of Housing & Residence Life.
Typical Qualifications
Minimum Qualifications
• High school diploma or associate degree required.
• Experience in housing, residence life, security operations, customer service, or related field.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities in high-pressure environments.
Preferred Qualifications
• Bachelor's degree in Higher Education, Student Affairs, Business Administration, or related field.
• Experience with residence life systems (e.g., StarRez or similar platforms).
• Experience in crisis response, conduct processes, or facilities operations.
